This role is a hybrid position that will work in-office in Orlando, FL 2-3 days a week.This Executive Assistant will:• Perform at a high-intensity pace with a positive attitude• Manage and maintain calendar/schedule. Use judgment to prioritize meetings and proactively anticipate and solve for conflicts• Readying a daily agenda to include physical documents• Ensuring that any asks are reviewed and completed prior to meetings• Coordinate internal and external meetings, which may involve scheduling meeting times, putting agendas together, making travel arrangements for attendees, ensuring that various meeting amenities are available, space/event planning, and location scouting. Offsite meeting participation/set up as needed.• Act with tact and diplomacy when responding to any customer, whether internally or externally• Effectively collaborate with our team of high performing Executive Assistants and Administrative Assistants• Advocate use of new technologies and communication means across the Pharmacy team• Maintain and manage travel schedules (scheduling appointments and making travel arrangements)• Managing expense reports• Manage self and work with judgment, tact, emotional intelligence, and initiative• Assist leadership team with reports, agendas and meeting minutes• Maintain office files, records, and filing systems as appropriate• Determine proper course of action for incoming telephone calls and correspondence, directing to appropriate person or operational area• Maintain strict confidentiality• Juggle multiple projects simultaneously• Anticipate needs before they happen to eliminate any potential bottlenecks which may ariseLocation:11010 Florida Crown DrSuite 200Orlando, FL 32824This is a hybrid position that will be in-office 2-3 days a week.Hours: Monday-Friday business hours with the ability to work overtime/evenings as neededUse your skills to make an impactRequired Qualifications• Demonstrated career of experience supporting a senior level executive in a large and complex organization• Proficiency in Microsoft Outlook, Word, and PowerPoint• Ability to manage multiple or competing priorities independently and without supervising input• Organized -- ability to balance multiple initiatives and prioritize workload• Outgoing and energetic with a solid comfort level in a corporate environment• Forward-thinking – ability to be pro-active and expect the unexpected• Strong attention to detail; ability to manage many details related to calendaring/scheduling, follow-up requests, travel-related planning, etc. simultaneously with low rate of errorEmotional intelligence -- demonstrated ability to manage self around others and in difficult situations while remaining in control and professional at all times• Capacity to maintain confidentiality• Ability to build strong working relationships with people, internally and externally• Ability to work effectively in a fast-paced environment• Strong organizational skills• Ability to balance multiple initiatives and prioritize workload• Must be passionate about contributing to an organization focused on continuously improving consumer experiences• Candidate must be willing to work in office in Orlando, FL 2-3 days a weekPreferred Qualifications• Associates or Bachelor's Degree• Proficient in Microsoft Excel• Experience with internet research and proof-reading/editingScheduled Weekly Hours40Pay RangeThe compensation range below reflects a good faith estimate of starting base pay for full time (40 hours per week) employment at the time of posting.
