Position Overview:
We are seeking a proactive and detail-oriented professional to join our team as a part-time (10-20 hours per week,) In this role, you will provide essential support to a Financial Planner at Prudent Wealth, by managing client interactions, ensuring operational efficiency, and delivering an exceptional client experience. You will act as the primary contact for client service needs, organize and track critical tasks, and support business operations, all while creating capacity for the advisor. Our practice works with engineers and analytical people, so understanding how they think is important. This role requires someone who thrives in a dynamic environment, enjoys independent collaboration, and takes pride in delivering thorough follow-up and personalized service. If you’re client-focused, and have a knack for staying organized, this is the perfect opportunity for you. Position is open due to current employee is retiring after 8 years with the firm. Position will start AFTER January 1, 2025.
Key Responsibilities:
- Client Interaction and Service:
- Serve as the first point of contact for client service inquiries, issues, and problem resolution, escalating as needed.
- Manage client touches, such as birthday cards and follow-ups, to enhance relationships.
- Provide assistance and training to clients on technology tools as needed.
- Operational Support:
- Schedule meetings, manage the advisor’s calendar, and organize tasks using contact relationship management (CRM) software.(Wealthbox)
- Manage the advisor’s calendar, outlook inbox and organize tasks.
- Maintain electronic client files and ensure accurate documentation and organization. (Egnyte)
- Process and track client paperwork efficiently and accurately.
- Meeting Preparation and Support:
- Prepare materials and reports for client meetings and calls.
- Ensure all meeting logistics are handled, contributing to a seamless client experience.
- Business Operations and Special Projects:
- Update and improve operational processes to ensure efficiency.
- Assist with special projects and tasks to support the growth and success of the business.
Traits and Skills Required for Success:
- Experience:
- 2-5 years of office experience, preferably in the financial services industry.
- Skills and Characteristics:
- Incredible attention to detail and a commitment to thorough follow-up.
- Strong interpersonal communication skills: clients enjoy talking to you.
- Proficient with technology, including MacBook Pro Laptop, Microsoft Office 365 (Word, Excel, Outlook) suite, and zoom. Preference given to those who have experience working with: Wealth Box, Dropbox, Egnyte, Holistiplan, GReminders, or Albridge.
- Preference will be given to candidates with experience and familiarity in marketing on social media platforms such as LinkedIn, Facebook, YouTube, Instagram, and X, as well as proficiency in using Canva and other social media tools.
- Comfortable learning new software programs quickly and adapting to evolving processes.
- Excellent written and verbal communication skills.
- Self-motivated, with the ability to work independently while valuing team collaboration.
- Demonstrates "Southern Hospitality" or "Midwest Nice" in all interactions.
- Technical Requirements:
- Must pass a background check, including fingerprinting and a credit report review.
- No felony convictions or misdemeanors involving financial or ethical breaches.
- Brokerage accounts (if applicable) must meet compliance with approved companies (24 options) disclosed and monitored. (regulatory requirement)
- Education:
- A college degree is preferred but not required. Minimum High School Diploma or GED.
- Compensation and benefits
- The hourly rate for this role is $20.00 to $24.00, depending on experience and expertise. The current role ,compensation has outpaced inflation the last 4 years. Potential for bonuses tied to the practice's profitability; however, bonuses are not guaranteed.
- 10-20 hours per week, varies by week
- Typical schedule is Mondays from 9-3 (approximately) and two other days, typically Tuesday, Wednesday or Thursday.
- Closed on all major Holidays: New Years Day, Good Friday, Memorial Day, July 4th, Labor Day, Thanksgiving Day and day after, Christmas Eve and Day
- While this part-time role does not offer additional benefits, it provides a competitive hourly rate and a flexible work environment.
Location Requirements:
Must reside in one of the following states: AL, AR, FL, GA, IA, ID, IN, KS, KY, LA, MO, MS, NC, NE, SC, SD, TN, TX, VA. Preference will be given to candidates based in Alabama.
