The LightHouse is currently in a period of growth, increasing our capacity to serve more low-vision and blind clients.*Blind/visually impaired strongly encouraged to apply.*Please note the terms and conditions of this position may be subject to change, once a Union Collective Bargaining Agreement is in place.OVERVIEW:As the Guest and Event Services Associate, you will be the welcoming face and voice of LightHouse for the Blind and Visually Impaired, consistently providing professional, welcoming, and courteous assistance to students, staff, and visitors. Key responsibilities will include providing safe, efficient, and friendly transportation for guests and team members, ensuring exceptional experiences as guest concierge, and assisting the hospitality team with event-based logistics.QUALIFICATIONS:Minimum 1-year previous experience in a guest services or receptionist role, preferably in an inclusive and diverse environment.Strong interpersonal and communication skills, with an emphasis ability to work cross-departmentally.Proficiency in using Outlook, Excel, Word, and event and property management system.An understanding of accessibility standards and a willingness to learn and implement accessible practices.Excellent organizational skills and the ability to multitask in a dynamic environment.Commitment to our organization’s mission and values.Professional appearance, work ethic, and demeanor.Ability to work in a clean, organized, and efficient manner.Bilingual Spanish a plus.JOB RESPONSIBILITIES:Guest and Event Services:Welcome all staff, students, and visitors, making them feel valued and at ease. Ensure that visitors are announced to the appropriate staff or department as needed.Answer incoming calls in a professional manner, accurately identifying and transferring them to the appropriate extensions. Provide concise and helpful information as needed.Support the Guest and Event Services Manager before, during, and after events, anticipating needs and solving problems with the highest level of hospitality and professionalism.Ensure smooth execution of events by assisting in overseeing and scheduling room reservations in MS Dynamics, room setups, and other event-based logistics.Receive, stage, and return event-related items such as food, rental items, and laundry.Coordinate with vendors and internal staff to ensure all event and service items are properly handled, stored, and returned in a timely manner.Perform check-in and check-out processes for visitors and overnight guests, acquainting them with the facility’s layout, amenities, and established guidelines for conduct and safety.Conduct thorough inspections of guest rooms upon guest departure and ensure rooms properly prepared for next guest arrival.Reservation and Scheduling:Handle reservations for conference rooms, gathering spaces, and overnight residences.Ensure efficient scheduling, prevent conflicts, and maintain an up-to-date booking calendar.Coordinate with internal departments to manage room availability for student programs and other events.Administrative and Operational Duties:Maintain an organized Welcome area, ensuring that LightHouse brochures and Hospitality Guides are well-stocked and easily accessible.Provide up-to-date information and recommendations on local features, attractions, events, restaurants, shopping, and recreation.Foster positive relationships with both our internal community and external clients. Collect feedback and communicate any concerns or suggestions in team meetings to improve the overall guest experience.Provide reception support for other LightHouse locations to promote a cohesive team and ensure seamless coverage.Assist in completion and filing of all event-related paperwork, including forms required by other LH departments.Emergency Protocols:Be knowledgeable about emergency protocols and procedures. In times of medical emergencies, natural disasters, or other crises, take swift and appropriate action, including alerting Facilities staff, 1155 Security, and the on-call staff list. Contact emergency services (911) as necessary.Ability to perform other related duties as assigned.PHYSICAL REQUIREMENTS:Ability to sit at a desk and perform computer-intensive work for extended periods daily.Ability to lift at least 25 lbs.Ability to operate standard office equipment.Ability to independently travel to all LightHouse campuses and throughout the community as needed.WORKING CONDITIONS:LightHouse is an equal opportunity employer.
