What You Will Do: 

Under the guidance of the ECVC & IP Event Supervisor, this position is responsible for all aspects of event production and list management. This position will sit in our Roseland office and currently offers a hybrid remote work opportunity.

Essential Job Requirements:
  • The ability to work and thrive in a fast-paced environment;
  • Execute event plans, including but not limited to:
    • Work with attorneys and their assistants on market-facing opportunities and VentureCrush events;
    • Coordinate event details (including leading up to event, day of logistics and post event)
    • Create & proofread invites, nametags, written materials, etc.
    • Manage event inboxes (respond to emails, track RSVPs, etc.)
    • Create event marketing materials;
    • Maintain event check lists, ensuring they are always up to date;
    • Work with attorneys and their assistants on internal group events;
    • Secure venues and schedule internal space for events;
    • Coordinate needs with other departments, including Catering, Office Services, IT, Reception, etc.
    • Attend events and dinners, as needed. Must be willing to travel between New York, New Jersey and Palo Alto to run events;
    • Ensure the needs of guests are met.
  • List and invite management, including but not limited to:
    • Creating and sending invites out on behalf of key attorneys to dinners and events;
    • Create searches, run reports and update information in firm’s CRM system;
    • Research and update contact information as needed;
    • Coordinate with attorneys and admins to obtain lists and send invites
  • Other tasks, including but not limited to:
    • Manage multiple projects simultaneously with precision and attention to detail;
    • Coordinate with building security and firm staff as needed;
    • Keep and maintain stock and equipment in an organized manner;
    • Coordinate ordering of event supplies;
    • Working knowledge of CRM and event management software;
    • Other tasks as assigned.
Skills, Knowledge, and Abilities:
  • Two to three years of event planning experience;
  • Bachelor’s Degree from an accredited college is preferred;
  • Enthusiasm for learning and a desire to be challenged is necessary;
  • Ability to comport oneself professionally when interacting with all levels of the organization as well as clients is required;
  • Excellent organizational, interpersonal and phone skills are critical;
  • Must be detail-oriented, accurate and have the ability to work in a fast-paced, deadline-driven environment;
  • Must be reliable, responsible, punctual and dependable.
  • Must have the ability to work overtime when needed;
  • Must be flexible when dealing with high-stress situations and be able to re-prioritize tasks in a calm and effective manner.
  • Proficiency with Outlook/Excel/Access is essential.
 
Office Location: Roseland, NJ
Schedule: Full-time, Monday - Friday NJ, 9:00 AM – 5:00 PM.  Flexibility to work early mornings or late evenings on occasion
Travel Required: As needed.
