The Department: People Team

The People Team at Gemini are thought partners, business influencers, and ambassadors for Gemini's company values. Our collaborative team is comprised of recruiters, program managers, and human resources specialists. As a member of the People Team, you’ll be on the ground floor of a quickly growing organization, with the opportunity to create best-in-class processes and programs that find, grow, and retain amazing talent at Gemini.

The Role: Manager, Talent Operations

In line with Gemini’s expansion, our Talent Acquisition (TA) capability has grown dramatically in terms of size and complexity. The TA team is committed to process improvement and introducing enhancements to the way we operate, and given our scale, these enhancements require strategic thinking, creativity, user-centricity, and strong project management. 

To that end, we are recruiting for a Manager within Gemini’s Talent Operations team, dedicated to optimizing TA’s array of tools, platforms, and workflows. Your focus will be on maintaining and improving the platform on which all Talent Acquisition activity runs: our Applicant Tracking System (ATS), various software integrated with the ATS, and the core workflows underpinning ATS usage. 

As Talent Operations Manager, you will orient your team around Gemini TA’s long-term goals, and working backwards, determine a series of process improvements to support those goals. These improvements will include reconfiguring our ATS (Greenhouse), acquiring feedback and insights from users of the recruitment platform, creating user-friendly workflows within and outside Greenhouse, and bringing visibility to the strengths and weaknesses of our recruitment platform through reporting. 

This position may work completely remote from any location in the US, may choose to work from one of our offices (New York, Chicago, Portland, Seattle), or a hybrid. You will report to Gemini’s Associate Director of Talent Strategy & Operations, and work alongside 10+ staff within that group. Finally, you will manage a small team of specialists in Talent Operations.   

Responsibilities: 

  • Develop a roadmap for introducing various improvements and configurations to Gemini’s Talent Acquisition platform by studying TA’s overarching strategy and goals.
  • Assess Gemini TA’s operations for strengths and weaknesses, and make recommendations on high-yield changes.
  • Act as the primary owner and administrator for Gemini’s ATS (Greenhouse), along with its adjacent platforms (including sourcing platforms, reporting tools, document signing, outside vendors).    
  • Lead various change management projects that affect the TA function, and in some cases the broader company. 
  • Support organization-wide transformations as they intersect with recruitment (including implementation of a new HRIS, Workday). 
  • Support regular hiring planning cycles by organizing each department’s hiring needs; administer off-cycle headcount additions to the ATS.     
  • Run reporting and conduct ongoing analysis related to ATS usage and performance. 
  • Provide day-to-day management, coaching, and career development for a small team of Talent Operations staff. 

Qualifications:

  • 4-6+ years managing talent/recruiting operations projects in a dynamic, high-growth business environment. 
  • 2-4+ years with the Greenhouse ATS in an administrator capacity. 
  • 2-4+ years managing a variety of talent professionals, including operators, coordinators, or analysts. 
  • Excellent written and verbal communication skills, particularly in relation to communicating issues and required process changes.
  • A track record of solving complex Talent-related problems through consultative approaches (understanding the issue, using quantitative data to understand the problem, simplifying issues for senior audiences, recommending solutions).  
  • An obsession with process improvement, from debugging small issues to large scale transformations.    
  • An orientation towards the end user, and a track record of “working backwards,” starting with the business/user need, and ending with a specific solution.
