Position Summary:
The HR Coordinator will provide all levels of support to the People Operations functions. Areas of focus will include supporting the new employee onboarding process, ensuring compliance with all employee clearance and background check regulations, benefit data administration, development of trainings, Workday data entry, maintaining employee files, and responding to basic HR inquiries.
Duties and Responsibilities: - Complete benefit, compensation and HR team administrative duties as directed by Assistant Director of HR (ADHR); including the following or as assigned:
- Execute weekly and monthly benefit data audits.
- Attend weekly meetings with Mastery’s benefit consultant and broker and bring employee benefit items for troubleshooting.
- Be first line of response to all benefits related HR tickets and decipher next steps in level of service (i.e. when to escalate to Mastery’s broker or ADHR or to Benefits VIP helpdesk).
- Support ADHR during open enrollment project operations and own portions of staff training material and communications.
- Manage the Years of Service annual project with oversight from ADHR.
- Manage Professional Development Reimbursements (including Enhanced) payment process including staying up to date on whether highly compensated employee rate or reimbursement cap has changed, and ensuring the correct funds are reimbursed via the correct pay codes i.e. other earnings vs. PD reimbursement.
- Review weekly job change and separations reports and send applicable correspondence to staff (job changes notification and separation details emails).
- Manage the unemployment claims process by completing questionnaires and assigning hearing tasks to employee relations team.
- Respond to basic inquiries through the HR ticketing system (Jira) and escalate issues accordingly.
- Conduct HR team support functions such as employment verifications, monthly credit card reconciliation ordering team supplies.
- Support the Human Resources Manager (HRM) on the employee on-boarding process and with the overall department compliance responsibilities; including the following duties or as assigned:
- Facilitate New Employee Orientation (NEO) in conjunction with the HRM and educate new hires on use of timekeeping and self-service tools in HRIS (Workday) and updating presentation materials as directed by the HRM.
- Complete I-9 verification for new hires
- Manage follow up from NEO sessions by sending helpful documentation to new hires while also addressing any residual questions or directing inquiries to the appropriate HR team member.
- Support the HRM in summer and mid-year NEO operations; including but not limited to maintaining the NEO website, pre-NEO communication, onboarding instructions and communications with various departments.
- Manage all fingerprint scheduling and appointments, securing back-up if needed.
- At the direction of the HRM, maintain electronic and physical filing of personnel records and conduct follow-up on missing items for current employees for state/federal /financial audits.
- Support the HRM with annual and ad-hoc personnel file audits.
- Other Job Functions:
- Support the HRM with the onboarding of Additional Hires including extracurricular roles, athletics, interns, tutors, volunteers etc.
- Maintain the fingerprinting equipment by ordering supplies from Identogo, troubleshooting malfunctioning equipment with tech support, and staying up to date on various trainings as required by Identogo.
- Participate in annual and ad-hoc compensation audits and support in creation of toolkit materials.
Qualifications: - Strong computer skills; proficiency with Microsoft Office required, especially Excel, Outlook, and PowerPoint.
- Exceptional attention to detail and organization skills required. Must be able to multi-task in fast paced environment.
- Strong customer-service and communication skills (both written and verbal) required.
- Ability to maintain confidentiality with sensitive information.
- Ability to work well independently, as well as in a team required.
Education and Experience: - Bachelor’s degree required or at least a minimum 3 years of relevant HR and administrative experience
Physical Requirements: - Ability to physically perform the essential duties of the role – either on-site or remotely (as directed), and to work in the environmental conditions required, such as: traveling to network campuses; maneuvering in office spaces (including standing, walking, sitting for long periods of time, speaking loudly and clearly, seeing and hearing things both near and far away); stooping, kneeling, reaching file cabinets/shelves; fine finger and hand manipulation in use of computer, chalkboard, dry erase, &/or projectors; filing, faxing, scanning, coping, typing, mailing, and making phone calls; sitting for up to two (2) hours looking at a computer monitor, using a keyboard/mouse, and typing.
Other Requirements:- Position requires local &/or regional travel to Mastery and other sites. Must have valid driver’s license and vehicle, or access to reliable transportation.
