The opportunity:
Our Project Management team is responsible for ensuring every customer has a great experience with Meeting Tomorrow. This team’s top priority is ensuring client satisfaction; going above and beyond to exceed expectations. Our customers come to us for support with their most important events and our Project Management team makes sure that each event is set up for success. Project Managers integrate with our client's event planning teams to understand the goals, budget, and specific audiovisual needs for each event and collaborate with our internal teams to deliver solutions and exceed expectations. Our Project Managers have experience in the meeting and event industry, support their clients throughout the planning process, and have complete ownership over the event project plan.
As a Project Manager, you’re responsible for the client experience. Main responsibilities include:
• You are the client’s main contact for any needs that arise including gathering event details, change management, questions, and organizing content/deliverables.
• Own communication and information flow between the client, venue, and any technical staff involved to ensure expectations are met.
• Make decisions and give approvals on behalf of your client to meet their vision. Work closely with internal teams to ensure processes are followed and service level agreements are being met
• Manage any issues or challenges that arise to ensure all events are successfully delivered
• Depending on the accounts managed and overall need, moderate to frequent travel onsite will be required. Frequent travel is defined as 20% travel per month of work days, based on a 40 hour work week.
Who you are:
You have experience managing midsize to large events with a variety of corporate clients, seeing them through to successful execution. Previous corporate event management experience is required. In addition, people describe you as:
• Detail Oriented. You catch the details others don’t, and nothing falls through the cracks on your watch.
• Efficient and organized. There’s lots to keep track of when working on multiple events with different timelines, clients, and teammates. Organization is key.
• Adaptable. You can work and make decisions in gray, unpredictable spaces with shifting priorities. When faced with unforeseen challenges, you adjust to keep the project (and everybody) on track.
• Great communicator. You communicate effectively and confidently, easily build rapport, and can adapt to different styles.
• Relationship builder. You're a people person and can easily build and nurture relationships on the phone and in-person, and you cater your approach to the person you're talking to.
• Growth-mindset. You thrive on feedback and making improvements based on it.
What you’ll accomplish:
Within 1 month, you’ll:
• Learn about MT’s services - the value we offer, the types of events that we service, and our customer-service mentality.
• Complete training on our processes and systems for planning and executing events.
• Meet with current members of the Project Management Team to understand best practices for supporting our clients and their diverse needs.
Within 3 months, you’ll:
• Build strong and lasting relationships with clients and internal team members, ensuring a strong client retention rate.
• Create your own processes for working with your clients and identify opportunities for efficiency/improvement.
• Become proficient in our CRM, Netsuite, and Project Management tool, Hive.
• Work with members of our internal support teams to effectively manage a large-scale event or event series for premier clients. These clients include Fortune 500 companies in many sectors including pharmaceutical, wealth management, and production service agencies.
Within 6 months, you’ll:
• Have proficiency in the role and be managing accounts with autonomy.
• Demonstrate an aptitude for problem solving and contingency planning, striving to consistently exceed client expectations.
Within 1 year, you’ll:
• Complete projects to improve the efficiency and effectiveness of the team.
