Membership and Operations Specialist, SHSMD

The American Hospital Association (AHA) is a national organization that represents and serves all types of hospitals, health care networks, and their patients and communities. The AHA has two main offices, located in Washington, D.C. and Chicago. We are currently seeking a Membership and Operations Specialist for our downtown Chicago office. This position is a hybrid role (three days in the office, two days working remote).

The Membership and Operations Specialist is responsible for implementing and executing membership strategies to handle administrative, operational, programmatic and governance logistics for the Society for Healthcare and Market Development (SHSMD). SHSMD is a professional membership group of the American Hospital Association (AHA). The Specialist handles financial invoicing, tracking, and reporting, onsite and online event registration legal contract processes, volunteer and committee work and governance functions. The Specialist handles SHSMD membership data functions in a CRM (customer relationship management) database.

  • Manages invoices, expense reimbursements, collections, honoraria or other payments. Follows procedures set forth by financial partner program. Coordinates team forecasting, corrects data, and organizes annual budget creation by team and board. Tracks, trends and reports on society finances.
  • Manages and tracks data accurately in AMS/customer relationship management system. As expert AMS user, tracks volunteers, creates products, runs reports, makes updates, ensures accuracy of data.
  • Supports member engagement projects such as: membership campaigns, ambassador program, new member reception, annual recognition awards, annual volunteer recruitment efforts, group member program, chapter renewal, scholarships, meet ups and online community engagement.
  • Handles governance activities such as call for nominations and election of board. Plans and organizes quarterly advisory board meetings, including but not limited to: meeting logistics, participation, communications, board book preparation and board recognition.
  • Provides front-line customer service including phone support for all types of inquiries such as tier 1 technical support, refunds, or password resets.
  • Expertly manages (CVENT) registration and related modules for large events, ensuring a technically solid and customer friendly experience that includes accurate back-end alignment with financial and CRM Tracks registration and payment data. Leads onsite registration.
  • Handles logistics for SHSMD team and events - e.g., shipments, signage coordination, food/beverage for small meetings, board/volunteer scheduling.
  • Performs other duties as assigned.

Experience

Required
  • 3 - 5 years: •Minimum of 3 years experience in membership, customer relations, financial management, association management, and/or marketing is required. •Knowledge of membership best practices is required. •Knowledge of health care field, financial management, membership engagement, and/or the association environment is required. • Intermediate computer and Microsoft Office (Word, Excel, Outlook, Teams and PowerPoint) skills are required. • Knowledge of digital
  • communications technology, such as online communities and directories (e.g., Higher Logic) and document sharing platforms (e.g., SharePoint). •Intermediate knowledge of association data systems and customer relationship management systems (e.g., CRM, Salesforce, Net Forum/ AMS) •Experience with data analysis and survey tools (e.g., Survey Monkey). •Experience with event management and registration technology (e.g., CVENT, eShow). •Ability to learn new technology.
Preferred
  • •Experience with project management is strongly preferred. •Association or non-profit experience is strongly preferred.

Education

Required
  • Bachelors or better in Business Administration or related field
