mPower is a woman-owned small business seeking a well-rounded and experienced Administrative Management Specialist to provide comprehensive administrative and management support to Headquarters leadership and staff. This role supports various command programs across (18) geographically dispersed training locations and requires coordination with subordinate commands, detachments, and learning sites.
The ideal candidate will work independently while maintaining consistent collaboration with both military and civilian administrative personnel across the organization. This position also includes executive-level support duties such as presentation development, protocol coordination, and operational planning in support of senior leadership.
Job Responsibilities:
· Draft and prepare official correspondence, directives, and documents in proper format; ensure accuracy in spelling, grammar, and formatting.
· Utilize word processing and office productivity software to produce technical and administrative documents; may also use desktop publishing, calendars, spreadsheets, and graphic applications.
· Make travel arrangements in accordance with current regulations; prepare travel orders and vouchers; coordinate lodging and transportation for senior staff.
· Support coordination and planning of high-level conferences and meetings hosted by the command, including logistics, briefings, and protocol liaison.
· Maintain calendars for the Commanding Officer, Executive Director, and headquarters conference rooms; manage scheduling of Audio Bridge communications.
· Provide document publishing support, including newsletters, briefings, flyers, and reports using advanced office software capabilities.
· Review and edit proposed regulations and directives for clarity, formatting, and consistency with existing policies.
· Track conference action items by attending meetings and preparing minutes.
· Administer the Command’s Incentive Awards Program, including award package preparation and certificate/medal processing.
Required Qualifications:
· Education & Experience Requirements (one of the following):
o Bachelor’s degree from an accredited institution and 3 years of experience in a Navy administrative environment
o OR a minimum of 12 years of experience in a Navy or Marine Corps administrative environment
· At least 5 years of executive-level experience within a Navy or Marine Corps administrative setting.
· Demonstrated experience (within the last 3 years) in administrative, protocol, presentation, and operational support.
· Ability to perform duties expected of an Office Manager, using discretion and independent judgment on significant administrative matters.
· Proven ability to establish priorities and communicate effectively with internal and external stakeholders.
· Experience managing a broad range of executive and administrative support tasks independently with minimal supervision.
· Demonstrated experience (within the last 3 years) in administrative, protocol, presentation, and operational support.
· Extensive experience in high-level event planning, itinerary development, and knowledge of Navy protocol and military courtesies.
· Excellent oral and written communication skills.
· In-depth knowledge of Navy and Marine Corps organizational structures and command hierarchies.
· Must be able to obtain a Favorable Tier 3 Background Investigation.
