Summary:
1. Oversee administrative and daily office operations. Coordinating administrative duties, including but not limited to providing administrative support by handling vehicle registrations, processing and verifying accuracy of work orders on vehicles. Tracking invoices for repairs and parts. Works with other administrative assistants to verify payment for shop purchases, via P-Card or District Purchase orders.
2. Review, compare, and enter data into fleet management applications (Fleet Vision, Zonar, Excel and Google docs, etc.) Print and file physical reports for all vehicles.
3. Communicate effectively with staff and other district departments. Specifically,, coordinating and scheduling vehicle repairs and estimates for other departments within the district.
4. Communicate effectively with outside agencies and vendors to obtain quotes for repairs and equipment purchases from external vendors. Assist in scheduling and coordinating repairs for vehicles and equipment with external vendors.
5. Maintain and update records; maintain filing system for the tracking of vehicle and garage staff records. Ensuring and maintaining hard copy and electronic vehicle and staff records for compliance with CDE and DOT regulations and certifications.
6. Work with Fleet Manager to complete both routine and special projects. Including but not limited to special reports for evaluating and analyzing current state of district vehicles and equipment.
7. Perform other duties as assigned.
