Position Overview

The Illinois Department of Corrections at Hill Correctional Center is seeking a detailed and energetic Office Coordinator in its Record Office. The person selected for this position will perform technical office support functions including the calculation of education good conduct credits and earned good conduct credits, encompassing a knowledge of applicable statutes, appellate mandates, and how increments of time are awarded. Additionally, the person selected for this position will keyboard a variety of correspondence, assist in regulating, monitoring, and processing information regarding sentence calculations and will respond to inquiries from officials regarding sentence calculations. Job Responsibilities

  • Performs technical office support functions including the intake process of master files, the calculation of education good conduct credits and earned good conduct credits, encompassing a knowledge of applicable statutes, appellate mandates, and how increments of time are awarded.
  • Assists in regulating, monitoring, and processing information and documents regarding sentence calculations.
  • Monitors Offender 360 (O360) to ensure correct data for appropriate time awards, time revocations, projected release dates, and mandatory release dates.
  • Organizes and maintains all files relating to the education good conduct credits and the earned good conduct credits.
  • Keyboards a variety of correspondence, reports or other information.
  • Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.

Minimum Qualifications

  • Requires knowledge, skill, and mental development equivalent to two (2) years of secretarial/business college or completion of high school and two (2) years of related office experience or two (2) years of independent business experience.
  • Requires the ability to keyboard 30 words per minute.


Preferred Qualifications (In Order of Significance)

  • Prefers at least two (2) years of experience in working with confidential material.
  • Prefers at least two (2) years of experience in alpha-numeric sequencing.
  • Prefers at least two (2) years of experience in operating common office equipment such as multi-line phone systems, copiers, fax machines, and scanners.
  • Prefers at least two (2) years of experience in troubleshooting common office equipment such as copiers, fax machines, and scanners.
  • Prefers at least two (2) years of experience in using Microsoft Office programs such as Word and Outlook or similar like computer programs for word processing and email.
  • Prefers at least two (2) years of experience in talking to the public about rules/guidelines followed by an employer in order to get to an appropriate end result.
  • Prefers at least two (2) years of experience in reading, interpreting, and applying rules and/or guidelines of an organization.
  • Prefers at least two (2) years of experience performing long form mathematics in the workplace.

Conditions OF Employment

  • Requires ability to pass the IDOC/IDJJ background check.
  • Requires the ability to pass a drug screen. On January 1, 2020, the Cannabis Regulation and Tax Act made it legal for residents over the age of 21 to produce, consume and sell cannabis in Illinois. Please note that although the law has changed, the Department will continue to enforce the Department’s zero tolerance Drug testing policy. The use of unauthorized drugs, including cannabis by an employee, regardless of the position held is prohibited.
