We are seeking to hire an experienced and organized Office Manager for our San Mateo office. The ideal candidate will exhibit high standards, excellent communication skills, and have an ability to take initiative, and prioritize daily tasks. You will be responsible for ensuring the smooth operation of our office. To that end, you will be the point person communicating with building management, receiving and shipping deliveries, ordering office supplies, stocking food & beverages, coordinating onsite interviews, and other operational activities.
Responsibility
Manage Invoices/ Purchase Orders for office management
Maintain and track office management expenses and budgets
Keep kitchen area stocked with food, snacks & beverages
Answer phones, greet visitors, and handle inbound and outbound mail and packages
Keep conference rooms organized
Organize catered meals and team social events
Establish, document and communicate office policies and processes
Maintain floor plans and seating charts including employee moves
Handle building management and facilities issues
Order & maintain office supplies and order office equipment as requested
Maintain vendors lists and frequently ordered materials
Reporting office operations to senior management and working with them to improve office operations and procedures
New hire onboarding preparation including calendar invitation, seat assignment, forkable account setup etc (preferred)
Employee offboarding support: laptop collection and reset (preferred)
Qualification
Attentive to detail
Stay calm and organized in the face of competing priorities
Must have an understanding of office administrative tasks
Exceptional computer skills and must be clearly internet savvy including Google Docs
