Position Summary:
The M. Louise Fitzpatrick College of Nursing (FCN) seeks applicants for the position of Office of Nursing Research (ONR) Coordinator. The ONR Coordinator is an integral team member in the FCN, serving as the main administrative point of contact for the Office. Working under the direction of the Associate Dean for Research and Innovation (ADRI), the Coordinator will perform high-level program and administrative duties for the FCN’s research and innovation enterprise. This requires service mindset and close collaboration with faculty, staff, students, and other offices across Villanova’s campus, as well as external partners. The Coordinator is a self-directed individual who maximizes FCN’s potential for innovative research through outstanding project and process management, faculty development support, and financial tracking and reporting.

Duties and Responsibilities:
Coordinate the ONR Enterprise
  • Provide administrative support for the ONR serving as the central point of communication between the Office and internal/external collaborators.
  • Work with Villanova’s Office of Grants & Contracts staff to support pre/post award activities.
  • Maintain knowledge of the Cayuse system used to upload grant proposals and to manage all sponsored awards, and the Concur system used for procurement.
  • Maintain the ONR website, Microsoft Teams site, and Bookings link to ensure access to ONR resources and timely scheduling of meetings.
  • Respond to research-related inquiries, attend relevant meetings and maintain and distribute minutes, agenda, and any related documents.
  • Track progress of both submitted grant applications and funded projects. Manage proposal submission and outcome data using Qualtrics and other tools related.
  • Maintain awareness of important deadlines (e.g., FCN research timeline, sponsor submission deadlines) and support their enforcement.
  • Provide editing services for research-related documents. Keep up-to-date templates of required documents for grant submissions (e.g., Facilities and Other Resources page).
  • Communicate ONR activities through channels such as the website, social media, news updates, email, etc.
  • Schedule rooms, advertise, and prepare materials for various information sessions with internal and external collaborators.
  • Support all facets of the planning and execution of the Annual Nursing Research Symposium, including but not limited to scheduling space, making travel arrangements, supporting marketing and communications with promoting the event, correspondence and scheduling with podium and poster presenters, etc.
Coordinate Faculty Development Activities
  • Coordinate in person and virtual faculty development activities (e.g., brown bags) and manage resources in Teams and other platforms (e.g., on-demand videos). Maintain recordings to share links for live sessions.
  • Identify internal and external resources for technology and innovation, and support faculty to pursue such opportunities.
  • Coordinate, schedule and manage visits from guest speakers for brown bags and other activities.
  • Maintain a database of faculty and staff research and innovation interests to support the strategic assembly of teams to pursue funding opportunities.
  • Coordinate and schedule activities to facilitate competitive proposal submissions (e.g., mock reviews, statistical consultation).
  • Manage access to research-related software programs (e.g., NVivo, REDCap).
  • Work closely with the ADRI to announce, collect, and organize proposal submissions, and disburse funding for FCN research development grants.
  • Assist in the development of a system to track and project ONR workload to ensure adequate staffing and resources to support faculty pre-/post-award (e.g., grid of activities and persons responsible).
Coordinate Financial Tracking and Reporting
  • Assist in financial tracking, management and reporting (e.g., ONR budget, faculty discretionary research accounts).
  • Prepare monthly reports on ONR activities and forecast needs/resources for upcoming submissions.
  • Onboard externally and internally grant funded research assistants (e.g., set up job postings in the employment portal).
  • Onboard new vendors (e.g., consultants, transcription services, software providers in the procurement system).
  • Assist faculty with Concur expense reporting.
  • Stay up to date on University policy to support faculty for participant incentives (e.g., gift cards).

Provide Administrative Support to the Associate Dean for Research and Innovation (ADRI)

  • Provide administrative support for the ADRI including scheduling of meetings and events.
  • Manage emails between the ADRI and internal/external collaborators (e.g., University leaders, clinical agencies, community partners).
  • Coordinate and execute Research Advisory Committee meetings by scheduling meeting rooms, creating Zoom links, taking minutes during the meetings and disseminating agendas and minutes.
  • Schedule and procure travel, including airfare, lodging, transportation, etc. for the ADRI’s speaking engagements using University approved agencies and reconcile purchases through the Concur online system ensuring accuracy.

Minimum Qualifications:
  • Bachelor’s degree required or four years of relevant experience (in addition to experience listed below in lieu of degree)
  • 2-3 years of relevant administrative work experience
  • Development of online surveys (e.g. Qualtrics) or ability to learn survey software quickly.
  • Must have excellent written and verbal communication skills and strong attention to detail in writing and computing.
  • Must convey a highly professional demeanor and be a team player and demonstrate excellent customer service skills.
  • Excellent interpersonal skills with ability to work well both independently and as part of a team.
  • Excellent time management and organizational skills and the ability to manage multiple projects/tasks with varied deadlines and frequent interruptions.
  • Must maintain absolute confidentiality while understanding larger framework for detailed operation.
  • Critical thinking skills to think critically and develop creative solutions problem.
    Quick-learning skills to work in a fast-paced environment.
  • Ability to respond calmly to urgent and /or emergency situations.
  • Creative ideas and knowledge of platforms to make ONR activities more efficient
  • Microsoft Office products including Microsoft Teams.


Preferred Qualifications:
  • Master’s degree in organizational studies, organizational leadership, business administration or related field preferred.
  • Education or experience in research and innovation preferred. Administrative experience in an Office of Nursing Research (or similar higher education environment) preferred.
  • Expertise in various tools (e.g., Excel, Power Apps) to better streamline ONR work and activities.
  • Proficiency in sponsored project systems (e.g., eRA Commons, Cayuse).
  • Knowledge of submission requirements for diverse funding sources (e.g., private foundations, the National Institutes of Health, the Agency for Healthcare Research and Quality).
  • Proficiency in research software programs (e.g., NVivo, REDCap, Qualtrics).
