Position Overview
Accountable for online program operations utilizing processes that advance efficiency of systems and contribute to short and long-term growth goals. The successful execution of this role includes adherence to processes and timelines, proper fiscal management and limiting liability through proper execution of legal agreements. This position ensures a positive experience for program personnel by supporting the programs’ hiring, contracting and payment processes.
This position serves on the Program Operations team within the Division of Professional Studies (DPS). DPS offers an expanding portfolio of online, graduate and certificate programs, as well as customized programs for individuals and organizations seeking to excel in today’s rapidly changing professional environment. Salary range from $44,000 - $50,000 commensurate with skills and experience.
Responsibilities
Administration
- Create and maintain comprehensive project documentation to contribute to an environment of continuous improvement in method and delivery
- Prepares legal agreements and maintains records
- Schedules and maintains course information
Finance
- Calculates and processes one-time and monthly stipend payments
- Tracks and reconciles payments; pays invoices, reviews monthly financial reports for accuracy
- Coordinates hiring documents for online programs
Project Coordination
- Manage assigned project tasks, timelines, and resources to ensure the successful completion
- Monitor activities, outputs, and progress using project management system
Communication
- Conduct outreach and desk research in order to support the Division's evolving method and delivery
- Support internal and external meeting preparation and follow-up items to ensure success
Required Qualifications
- High school diploma or equivalent
- 2+ years of professional experience in administrative or program support
- Excellent written communication skills
- Excellent financial acumen
- Considerable ability to maintain record-keeping, process management, and analytical skills with the ability to collect, organize, analyze, and disseminate data/information with attention to detail and accuracy
- Considerable ability to take the initiative, prioritize work, and manage multiple projects simultaneously to achieve desired results
- Considerable ability and willingness to work independently and in a team environment, including physical or virtual environments, with a passion for supporting and serving as an advocate of diversity, equity, and inclusion.
- Considerable relationship management skills, including diplomatically addressing questions or concerns and successfully resolving challenges, and generating solutions
Preferred Qualifications
- Bachelor’s degree
- Experience working in higher education
- Experience in using project management software to meet deadlines
- Experience supporting online programs in an administrative role
- Experience working in Slate or another CRM, such as Salesforce
- Experience working with contracts or in a legal setting
- Working knowledge of applicable federal and state laws, policies, regulations, and standards (Americans with Disabilities Act Amendment and Section 504).
