Job Summary
We are seeking a highly organized and detail-oriented Executive Assistant to provide comprehensive administrative support to our executive team while ensuring smooth daily office operations. The ideal candidate is a proactive professional with exceptional communication and interpersonal skills, capable of managing diverse responsibilities efficiently. This role reports to the CEO and will be primarily responsible for assisting him.
Responsibilities
Manage complex executive calendars, schedule meetings, and coordinate travel arrangements.
Handle confidential information with the utmost discretion and professionalism.
Anticipate the needs of the executive team and proactively address potential issues.
Provide administrative support for board meetings and shareholder communications.
Oversee office operations, including facilities management, vendor relationships, and office supply inventory.
Manage office budgets and track expenses to ensure cost efficiency.
Plan and coordinate office events, meetings, and conferences.
Handle incoming and outgoing mail and packages.
Maintain office equipment and troubleshoot technical issues as needed.
Supervise office personnel and collaborate with HR on hiring and onboarding processes.
Qualifications
Bachelor's degree or equivalent professional experience.
5+ years of experience as an executive assistant or office manager or a similar role.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Exceptional organizational and time management skills.
Strong attention to detail and a commitment to accuracy.
Excellent verbal and written communication skills
Proven ability to coordinate domestic and international travel logistics.
Ability to multi-task and effectively prioritize competing demands.
Strong interpersonal skills with the ability to build relationships across all levels of the organization.
Demonstrated ability to maintain a professional demeanor under pressure and handle sensitive information with discretion.
A self-starter who can work independently and collaboratively as part of a team.
