Position Description

This is a remote position and can be based anywhere within the U.S.


JOB SUMMARY

The role of the Part-time Attendee Management Specialist is responsible in supporting the daily operations of the Society’s meeting registration platform while coordinating policy, procedure and problem solving for optimal impact. This role regularly works with Region-based staff, GHQ Business Unit Leaders, Suppliers, 3rd-Party Providers, and other members of the Supply Chain team to provide consultation, guidance and support to the Society’s meeting registration platform. This position is a part time, contract role up to 20 hours per week.

MAJOR RESPONSIBILITIES

  • Provides overall consultation, guidance and support for registration websites.
  • Confidently build registration websites for stakeholders with site needs ranging from basic to complex.
  • Build and maintain registration and housing websites using software technology for attendee management (including attendee management reporting, mobile apps, credit card processing, invitations etc.).
  • Works with internal stakeholders to plan, design and implement professional, creative and on-brand registration website pages, including Home Page, Agenda, Venue, FAQ, etc.
  • Coordinates with the travel management company to ensure connectivity between registration software and online travel booking tool.
  • Participates in team meetings as needed.
  • Be an analytical thinker with the ability to troubleshoot backend registration website issues in a timely manner.
  • Ensure online registration websites meet the specific needs of each event, and are clear, concise, and easy to navigate.
  • Draft and send clear event communications.
  • Advise accurate timelines and deliverable deadlines ensuring launch dates are achievable.
  • Anticipate client needs and make suggestions based on expertise to improve overall website flow.
  • Possess strong technical and data management skills.
  • Have the proven ability to manage multiple tasks, and be a creative and pro-active problem-solver.
  • Have exceptional time-management skills and be able to accurately manage multiple stakeholders at once.
  • Have outstanding problem-solving skills and be calm under pressure.
  • Work well in a team environment but be able to work independently as needed.
  • Provide superior customer service


Position Requirements

FORMAL KNOWLEDGE

  • Bachelor’s degree or equivalent combination of education and experience (2-4 years).

SPECIALIZED TRAINING OR KNOWLEDGE

  • Proficient with Microsoft Office.
  • CVENT knowledge & certification a plus.

OTHER SKILLS

  • Minimum 3 years working in a high customer service environment.
  • Excellent interpersonal, and organizational skills.
  • Able to perform several tasks and prioritize multiple projects.
  • Strong oral, interpersonal and communication skills with the ability to work cross functionally with a wide range of constituencies in a diverse community.
  • Ability to effectively manage day-to-day interaction with, liaison between, and coordination of a wide range of internal and external constituencies to resolve customer issues.
  • Ability to create and edit written materials.

The starting rate is $25.00 - $30.00/hr. The final candidate's relevant experience/skills will be considered before an offer is extended. Actual starting pay will vary based on non-discriminatory factors including, but not limited to, geographic location, experience, skills, specialty, and education.
