Job Description
The Payroll Specialist will play a large role with handling taxation of employee fringe benefits, employees working outside of NY state, and with meeting the requirements of the IRS and each state relating to tax deposits and tax reporting. The Payroll Specialist will also be a key player as part of the payroll team in regards to processing weekly and semimonthly payrolls.

Qualifications
  • 2 + years of Payroll experience.
  • Experience in higher education preferred.

Responsibilities
Review, research, approve, and process various types of payments made to employees or on behalf of employees, in order to analyze and record taxable income/benefits where applicable. Such payments include but are not limited to: moving expenses, memberships, complimentary tickets, vehicle usage, life insurance, travel and lodging, gifts, etc.

Continuously analyze employee data and identify employees working outside of NY state. Communicate with these employees to determine the appropriate state tax withholding setup in the payroll system for each. Handle the collection and processing of state tax withholding forms, where applicable. Review all state tax withholding during the processing of a payroll to identify any issues that need to be addressed prior to confirmation.

Post and balance all taxes after each weekly/semi payroll; Prepare the appropriate federal and state (listed below) tax deposits after each weekly/semi payroll in accordance with federal and state regulations; File all required monthly, quarterly, and annual tax returns for federal and each state (listed below) in accordance with federal and state regulations. Resolve notices received from the IRS or states pertaining to withholding tax deposits, liabilities, and/or tax reporting issues.
(AZ, CA, CO, CT, DC, GA, HI, IL, IN, KY, MA, ME, MD, MI, NC, NJ, NY, OH, OR, PA, RI, SC, VA, VT, WI, and other states as may be required in the future.)

Assist with the processing of weekly and semimonthly payrolls including but not limited to: tasks required to prepare for a payroll, creation of pay sheets, loading of time & labor records, RAP data, and other data files, calculation of paychecks, error resolution, confirmation of paychecks, and tasks required to finalize payroll. Review and process SU Abroad travel allowance payments when necessary. Calculate exchange rate conversion of foreign currency to U.S. dollars for designated SU Abroad employees and process adjustments as necessary in each payroll.

Handle all aspects of payroll overpayments including but not limited to: calculations, coordination and communications with department administrators, and resolution processing once repaid.

Other duties assigned by the Director of Payroll or Associate Comptroller.
