Payroll Specialist


The Payroll Specialist is responsible for assisting with the administration of payroll for VHC Health and subsidiaries including bi-weekly payroll processing, employee assistance for payroll related questions and payroll related disbursements. The Payroll Specialist will function as back up to the Payroll Manager and will be able to process payroll independently if required.

Qualifications:
  • Two years of Computerized Payroll System experience required.
  • High School Diploma required.
  • Bachelor's in Accounting or in a related field preferred.
  • One year of Automated Time & Attendance System experience preferred.
  • Strong analytical and problem solving skills.
  • Must be detail-oriented and comfortable working in a fast-paced environment.
  • Excellent written and oral communication skills.
  • American Payroll Association membership preferred.
Responsibilities:
  • Accurate and timely preparation of all payroll disbursements which includes direct deposits and payroll checks.
  • Entering the current period transactions to be processed with the next payroll cycle.
  • Entering all prior period adjustments/corrections to be processed with the next payroll cycle in Kronos and Lawson.
  • Checking and correcting all reports generated during the payroll processing schedule to ensure a complete and accurate payroll.
  • Initiates all employee deductions for child support and garnishments, ensuring that deductions are then interfaced into Accounts Payable for payment to the Garnishers on a timely basis.
  • Prepares request for stop payment in a timely manner and process stop with Truist Bank and submits to Accounts Payable Manager for review.
  • Works with the Human Resources department to correct withholding file errors, pay rate errors, and other status errors.
  • Counsels managers, supervisors and employees on proper time and attendance procedures.
  • Maintains records in accordance with departmental filing system and retention schedule.
  • Secures payroll check stock stays at acceptable levels by maintaining awareness of stock levels and ordering replacement stock on a timely basis.
  • Ensure that all Payroll software upgrades are done in a timely fashion.
  • Assists with reconciling Balance Sheet accounts related to Payroll Schedules. Ensures payroll schedules for each balance sheet account are prepared monthly and assists the Accounting team in reconciling each general ledger account back to its supporting documentation or subsidiary ledger.
  • Assists in preparation of work papers and schedules for internal and external audits.
  • Assists in resolving Payroll related disputes with IRS or other government agencies.
  • Assist in the filing of Quarterly Form 941.
  • Assist in the Year-End W2, W3 preparations and reconciliation to they payroll records and associated general ledger accounts.
  • Assists with preparing payroll Tax deposits according to tax schedule.
  • Understanding of payroll report options and proficiency with the same.
  • Prepares ad hoc payroll reports as requested.
  • Meets deadlines and accurately completes projects within established time frames.
  • Uses positive problem solving skills and proper communication channels in order to determine solutions.
  • Exhibits professional behavior and judgment and holds confidential all information related to payroll.
  • Special projects as assigned.
