Procurement & Admin Executive - job 1 of 2

Job Responsibilities

1. Sourcing and procurement of goods, equipment or services for Property Services unit

• Responsible for supplier management and procurement in the unit
• Ensure compliance with bank policies, processes and procedures
• Support initiatives related to procurement, contract management, Finance & Administration

2. Project management for projects and initiatives for the unit

• Support project team to prepare project quotation, budget, tender documents, etc.
• Participate in the evaluation of bids and conduct negotiations to ensure best offer
• Prepare recommendation reports for approval and award the bids in consultation with users

3. Support administrative duties

• Ensure proper organization and administration of contract documents, and other paperwork
• Facilitate processing of purchase orders, invoices, etc. via PO system in compliance with prevailing governance, and prepare financial reports where necessary
• Support system enhancements and implementation
• Facilitate risk assessments policies and procedures of the unit

4. Administer, monitor and co-ordinate maintenance / service contract renewals for the unit

• Work with suppliers/contractors to manage renewals of respective maintenance contracts for the unit
• Deal with internal and external stakeholders to manage and update contract agreements and records in accordance with bank policies and guidelines

5. Other adhoc duties assigned

Job Requirements

• Diploma in Business, Engineering, or related fields
• Able to work independently, and in a team
• Committed learner with an ability to multi task and handle pressure
• Possess leadership qualities and good interpersonal, negotiation & communication skills
• Aptitude in decision-making and working with numbers
• Added advantage for those with Fire Safety Manager Certification
• Added advantage for those with at least 1-2 years of relevant working experience
• Fresh graduates are also welcome
