Overview:

The Property Administrator assists the property manager with administrative duties, such as scheduling appointments, providing information to callers, and relieving property manager of clerical, administrative and business details. Administers the accounting functions of the building(s) managed.

Responsibilities:
  • Monitor incoming and outgoing calls. Respond to caller’s question(s) or route call to appropriate person.
  • Schedules appointments for supervisor and other staff.
  • Greets visitors and route to appropriate person.
  • Arranges travel schedule.
  • Processes accounts payable and receivable, work orders, and delinquency reports.
  • Assists in the preparation of tenant escalations and common area maintenance.
  • Analyze financial statements for accuracy and variances.
  • Assists in the collection of rents of the building(s) managed.
  • Facilitates processing of personnel paperwork, timecards, accounts receivable and payable.
  • Acts as tenant liaison and handles requests for service from tenants.
  • Assists in administration of tenant leases, including rent roll updates, maintenance of insurance certificates and CPI information, including preparation of lease abstract activity.
  • Receives incoming mail and route to appropriate person. Attach associated file to incoming mail addressed to manager.
Qualifications:
  • Associate’s degree (A.A.) from two-year college or university.
  • One to two year’s related experience and/or training; or, equivalent combination of education and experience.
  • Add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
  • Read, analyze, and interpret general technical procedures or governmental regulations.
  • Write reports and business correspondence.
  • Effectively present information and respond to questions from groups of managers and clients.
  • Solve practical problems.
  • Strong interpersonal skills.
