Proposal Coordinator

General Description:

The Proposal Coordinator will contribute to the company's growth and profitability through the development of RFP and bid responses, and other marketing and business development initiatives as needed. Operating as a team player, the Proposal Coordinator will report to the Proposal Manager, serve as a member of the Proposal Team, and work collaboratively with both the field organization and Business Development Team in a fast-paced, deadline-driven environment.

The Proposal Coordinator will be among the first points of contact for the field organization when a response to an RFP or other bid document is requested. This will require strong organizational and time management skills, superior writing/editing skills, and the ability to juggle multiple ever-changing priorities on a day-to-day basis

Essential Job Functions:

  • Work directly with the Proposal Manager, Proposal Team, field organization and members of the Business Development Team to prioritize and develop responses to RFPs and other bid documents
  • Draft responses to RFPs and other bid documents as assigned – write content and coordinate information for a completed proposal that accurately reflects the RFP requirements and the advantages of Supplemental Health Care while clearly speaking to the needs of the client
  • Set, enforce and maintain timelines/deadlines for successful completion of proposal
  • Provide quality control review and editing of all proposal and presentation material
  • Gather information to customize RFP and bid responses with input from key stakeholders and/or subject matter experts
  • Develop and update resumes/bios of office personnel consistent with company standards
  • Assist in maintaining boiler plate information of frequently used company information within Qvidian
  • Responsible for tracking all aspects of the RFP and bid submittal process
  • Provide all administrative aspects of proposal development and delivery including production, shipping and archiving of materials as needed
  • Responsible for the development and production of other marketing projects as identified and assigned

Minimum Skills, Knowledge & Talents

  • Bachelor's degree, preferably in English, Marketing, Communications, Journalism, Public Relations or a related area
  • Minimum of 1-3 years of work experience in the same or in a similar role, preferably working in the writing, production and coordination of proposals
  • Minimum of 1-3 years of work experience with Qvidian, Microsoft Office Suite and Adobe Creative Suite
  • Strong skills in RFPIO, Microsoft Word, Excel and PowerPoint
  • Solid time-management and organizational skills with the ability to work on a variety of projects at any given time
  • Strong writing and communication skills including knowledge of proper grammar, spelling and rules of composition
  • Ability to take disparate information from multiple sources, aggregate and assemble it together to create a professional document
  • Strong customer service and support skills
  • Must show attention to detail and process orientation
  • Ability to effectively work independently and with other team members, both in person and at a distance
  • Excellent time management skills and the ability to complete work in a timely manner
  • Ability to maintain a high level of company confidentiality

Salary will be between $50,000 to $75,000 based on experience.
