Job Description

Position Summary

We are looking for an experienced Event Project Manager to join our Marketing & Events team. You will help plan and execute The PHM HealthFront—an industry-leading health-focused event—while supporting a variety of marketing projects throughout the year.

This is a hybrid role, requiring three days in-office each week. This job reports to the VP, Programming and Events and is open to candidates who are willing to work out of our Philadelphia or New York offices.

 

As an Event Project Manager, you will:

  • Support the VP Programming + Events in planning, organizing, and executing our annual event, client gatherings, internal meetings, and marketing initiatives.
  • Collaborate with the Marketing + Events team to define goals, set timelines, and communicate with all partners.
  • Manage the event lifecycle to ensure project completion.
  • Handle administrative tasks, including scheduling meetings, requesting purchase orders, and processing vendor invoices.

Responsibilities

  • Project Management:
    • You will lead daily management of assigned projects.
    • Oversee the project lifecycle, ensuring adherence to plans and specifications.
    • Monitor project progress, including timing, resource management, and issue tracking.
  • Process Management:
    • You will understand marketing and event processes and capabilities.
    • Lead project status reviews and maintain centralized process documentation.
    • Identify areas for improvement and implement solutions.
    • Adapt to multiple team structures and project types.
  • Scope Management:
    • You will manage project schedules and deliverables, ensuring progress from conception to completion.
    • Anticipate risks and collaborate with the project lead to develop mitigation plans.
  • Collaborative Management:
    • You will develop project roadmaps and plans, setting clear team expectations.
    • Deliver clear instructions with supporting materials and documentation.
    • Collaborate with our teams and clients.

Qualifications

Requirements

  • Bachelor's degree in Marketing or a related field (preferred).
  • 3-5 years experience in project management and event planning.
  • Experience streamlining and implementing processes.
  • Proficiency in PowerPoint (can create professional decks), Excel (can manage spreadsheets)
  • Proficiency in Smartsheet and MS Teams or similar tools.

Compensation Range: $58,500 - $85,000 annually. This is the pay range the Company believes it will pay for this position at the time of this posting. Consistent with applicable law, compensation will be determined based on the skills, qualifications, and experience of the applicant along with the requirements of the position, and we reserve the right to modify this pay range at any time.
