Receptionist (Part-Time)

The Receptionist is responsible for front desk operations, which include greeting and assisting visitors, clients, vendors and employees in person and by phone. This is a part-time position which requires the candidate to work 3 days per week at the Firm's Princeton office.

ESSENTIAL FUNCTIONS:

  • Answers telephones and directs the caller to the appropriate contact.
  • Assists the Office Administrator in performing a variety of clerical and support functions.
  • Greets and assists visitors in a friendly and effective manner.
  • Takes and retrieves messages for various personnel.
  • Provides callers with information such as Firm address, directions to the office, Firm fax numbers, website and other related information.
  • Receives, sorts and forwards incoming mail.
  • Coordinates the pick-up and delivery of express mail services (FedEx, UPS, etc.)
  • Assists with other related clerical duties such as photocopying, faxing, filing and collating.

ADDITIONAL FUNCTIONS:

  • Provides support to the Office Administrator and other staff, as assigned.

QUALIFICATIONS (EXPERIENCE, KNOWLEDGE, SKILLS AND ABILITIES):

  • Minimum of two years’ related experience at a law firm or other client services industry.
  • Excellent organizational skills and close attention to detail.
  • High level of proficiency using a variety of office equipment, including personal computer, copier and facsimile machine.
  • Proven ability to work in a fast paced, high pressure environment. Demonstrates initiative and ability to work independently.
  • Ability to maintain highest level of confidentiality and provide outstanding customer service to internal and external clients/contacts.
  • Excellent verbal and written communication skills. High level of interpersonal skills to handle sensitive and confidential situations. Position continually requires demonstrated poise, tact and diplomacy.
  • Ability to utilize Microsoft Office Suite 2010 (Word, Excel, Outlook), database and presentation software and ability to navigate government and other related websites.
  • Keyboarding skills of 60 wpm or higher required.
  • Must exhibit a high degree of initiative in managing multiple priorities simultaneously in a fast-paced, deadline-driven, detail-oriented work environment utilizing excellent judgment, and decision-making skills.
  • Ability to gather and summarize data for reports, finds solutions to various administrative problems, and prioritizes work.

WORK ENVIRONMENT & PHYSICAL DEMANDS:

This job operates in a clerical, office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
