The Finance and Administration Department is actively seeking a Records Compliance Analyst - Information Technologies.

This position will report to the Technology Contracts and Records Manager and will be responsible for public record standards support to general government departments, divisions, and agencies. The work involves extensive interaction with departmental record coordinators and management at all levels in various City departments, in support of compliance with Florida’s public record laws.

Examples of Work

  • Assists in communicating records retention requirements and standard operating procedures to department coordinators, according to State of Florida guidelines.
  • Conducts monthly in-person or virtual training sessions for records coordinators on Public Records retention and disposition, including use of vendor portal to ensure compliance with State requirements.
  • Assists in coordinating the Records Management Program and applying records retention policies and procedures.
  • Assists Technology Contract and Records Manager with responding to department coordinator requests relating to offsite records transfer, retrieval, and storage.
  • Works with Technology Contract and Records Manager to identify and properly maintain records which should be designated as historical.
  • Works with Technology Contract and Records Manager and ITD Managers to develop policies relating to, and monitor compliance with, electronic record retention.
  • Provides guidance to department coordinators to ensure compliance in large-scale document destruction projects.
  • Conducts quarterly audits of City records stored offsite and works with department record coordinators to ensure all required identifying characteristics and record type is captured and maintained.
  • Communicates effectively both verbally and in writing using proper business English.
  • Works independently as well as in a large team environment.
  • Organizes and maintains multiple tasks and processes with shifting priorities and time constraints.
  • Utilizes Microsoft Office extensively, including Word, Excel, Outlook, and Adobe Pro.
  • Demonstrates proficiency in the City of Jacksonville’s competencies.
  • Performs related work as required.

Open Requirements/Supplemental Information

Position Requirements: Six years of education and/or professional experience in public records administration or records compliance. Prior experience working in federal, state, or local government or in regulatory compliance is strongly preferred. A Bachelors’ Degree from an accredited institution is strongly preferred, with a concentration in History, English, Government or Business.

Other Requirements:
Upon hiring, the candidate will have 90 days to complete training and demonstrate basic proficiency in the use of vendor records management portal. Training materials will be provided.

Licensing/Certification/Registration:
A valid driver’s license is required prior to appointment and must be maintained during employment in this class. Must qualify for prior to appointment, obtain, and maintain during employment in this class a City of Jacksonville Certification as a Public Driver.
