Sales Admin Assistant III

Overview: Are you a professional with an outgoing personality, a strong background in sales support activities and a passion for delivering exceptional results? If so, you will find a worthy challenge in the Sales Administration Assistant III position with Canon USA, Inc. located in Itasca, IL. As a key member of the Account Data Integration (ADI) team supporting the Imaging Technology and Communications Group (ITCG) sales division, this role will utilize available resources to perform a wide range of sales support activities, including reporting, supply ordering, account maintenance, budget tracking, database and website updates, standard operating procedure (SOP) write ups, order to cash transactions, and order monitoring. This position requires attention to detail, problem-solving abilities, and a proactive approach to support tasks. It also offers opportunities for expanding technical knowledge, gaining business experience, and contributing to the ADI team's success. This position is full time and offers a hybrid work schedule requiring you to be in the office Monday and Wednesday and an option to work from home the remainder of the week (unless a specific business need arises requiring in office attendance on other days). Note that work schedules and office reporting requirements may change from time to time based on business needs and this position offers a split shift of 9:00 AM – 5:00 PM and 11:00 AM- 7:00 PM (as required). Responsibilities: - Timely and accurate processing of orders and follow through. - Update and create Standard Operating Procedures (SOP's) documentation based on operational need. - Utilize SOP to self-teach and continuously improve knowledge and skills. - Verify accuracy and completeness of information before proceeding with tasks. - Work with spreadsheets in Excel to organize and analyze data, identifying and addressing any potential issues or discrepancies. - Respond to customer inquiries and escalate concerns promptly and professionally. - Stay updated with technological advancements relevant to the job and acquire new technical skills and knowledge necessary for efficient support. - Communicate and collaborate effectively with internal teams, external stakeholders, and customers to achieve shared goals and objectives. - Update and maintain databases, ensuring accuracy and integrity of information. - Perform various support tasks and responsibilities with varying deadlines. Qualifications: Please note: We comply with all applicable federal, state and local laws, regulations, orders and mandates, including those we may be required to follow as a federal government contractor/subcontractor. - Typically requires general and/or vocational training plus 2 to 4 years of related experience. - Proficiency in Microsoft Office suite and other standard computer applications. - Familiarity with SharePoint, EDI, Oracle, macro utilization (VBA), and Tableau is a plus. - Background in sales/order support activities, preferably in a similar role. - Ability to take direction, work independently and refer back to team when problems arise. - Strong attention to detail in tasks, documentation, and data ensuring maximum accuracy, efficiency, and effectiveness. - Strong/excellent organizational and time management skills to prioritize and complete tasks efficiently. - Ability to work a split shift of 9:00 AM – 5:00 PM and 11:00 AM- 7:00 PM (as required).
