The Archdiocese of Chicago (AoC) is the third largest diocese in the United States and serves more than 2.2 million Catholics. The Archdiocese, pastored by Cardinal Blase J. Basic Functions
Opens mail, types letters, answers phones, files correspondence, receives guests to the Cardinal’s Office.
Duties and Responsibilities
1. Assists with the opening and distribution of mail to proper party; assists with sorting of Archbishop’s mail for his review; sends thank-you cards for gifts; assists with acknowledgement of anniversaries, awards, and other special occasions.
2. Answers telephone calls, screens and directs callers to proper person; assists visitors.
3. Translates materials for the Archbishop as directed.
4. Schedules and coordinates meetings for the Charity Accounts Committee; collects all donation requests and creates a spread sheet to provide information to committee members; keeps rack of all donations made by the committee; sends out all donations.
5. Helps to coordinate meetings and prepare events with representatives of “Lay Ecclesial Movements of the Archdiocese.” Maintains Lay Ecclesial Movements database.
6. Delivers mail to the Archbishop’s Residence when asked.
7. Performs other duties as assigned by supervisor or the Archbishop.
Requirements and Preferences
Education required: High school graduate, GED or equivalent
Education preferred: Some college and/or formal secretarial training
Experience required: Minimum of three years of related office experience or Equivalent combination of formal education and related work experience
Experience preferred: Five years direct secretarial experience; knowledge of and/or experience with Catholic Church a plus
Skills required: Basic knowledge of Microsoft Word and Outlook; filing and other general office skills. Must be able to handle confidential material in a discreet manner. Must be a “team player” who interacts well with others.
Skills preferred: Knowledge of dictation/transcription equipment. Spanish, Polish, French or Italian language skills a plus.
Other required: Availability to drive personal vehicle to the residence to deliver or pick up mail; understanding for the need of utmost confidentiality.
