Senior Events Associate, Global Conferences & Events - REMOTE

Grow your career as a Senior Events Associate within Inclusive Collection, one of our 14 industry-leading brands. In this role you will be responsible for working with internal and external contacts to plan and execute a wide range of events commensurate with the Inclusive Collection’s strategic and tactical requirements. Events are a major contributor to the development and maintenance of relationships with our principle retail and wholesale distribution partners. The position requires an individual with a solution-based mindset to adapt to working on multiple event types and to take ownership of all event project needs, prioritize work, and meet deadlines and budgets. The Senior Events Associate will be accountable for the ownership and execution of all pre, during, and post planning needs for a diverse range of events, including travel advisor FAM trips, market events, reward trips, and industry conferences. This role requires travel (10-15 trips per year) and includes event planning and administrative work, including on-site event execution. This position requires a committed individual with excellent communication and people skills, a hands-on, high-energy approach and the ability to manage administration and logistics in a busy and occasionally unpredictable events environment

A successful Senior Events Associate will:

• Coordinate event logistics, including registration and attendee tracking, presentations, event materials support and pre/post-event evaluations Coordinate and monitor event timelines and ensure deadlines are met
• Negotiate and contract venues for all event logistics including room layouts, audio visual equipment, catering, signage, and décor
• Keep track of event finances including check requests, invoicing, and reporting and stay within established budget
• Provide support of annual travel agent celebration event (Confidant Connect Live), Industry Events, FAM, and partner events taking place at HIC properties and other venues
• Provide transportation and logistics support on all events and pre event and on site coverage at International Tradeshows
• Manage the monthly events calendar
• Work with Sales Support team to manage and track payment of invoices

A successful Senior Events Associate will have:

• Bachelor’s Degree (BA) from four-year college or university and two or more years related experience and/or training; or equivalent combination of education and experience
• Minimum two years experience in event planning
• Understands the functionality of Microsoft Teams, SharePoint and Salesforce (negotiable)
• Excellent interpersonal skills both in person and by phone, with high degree of professionalism
• Ability to manage and accomplish multiple projects independently
• Spanish speaking is a plus
• Excellent organizational skills – ability to prioritize daily workflow to effectively meet deadlines
