The Role

The Team

The Workplace Planning & Advice (WPA) team has responsibility for encouraging the WPA Function towards a world-class planning experience for our customers, achievement of strategic priorities, and strong business practices. WPA support roles partners with leaders and teams in the Westlake region as well as across the WPA field locations and Headquarters as the team implements critical initiatives supporting the Personal and Workplace Investing (PWI) Multi Year Plan.

The individuals serving on the administrative team are recognized as key members of the department for the meaningful role that they play in helping the function run efficiently. In this role, you will support certain team leaders and assist them with calendar management, booking travel, and handling travel related expenses, as well as provide general support of the corresponding organization.


The Expertise You Have

  • Must have at least three years of prior administrative/executive support experience
  • Microsoft Office Suite - MS Power Point
  • A bachelor’s degree is preferred
  • Proficiency in Microsoft Office suite of products and eagerness to develop expertise in these programs


The Skills You Bring

  • You are an experienced administrative professional with previous corporate environment experience and the ability to support multiple executives as well as varied department needs simultaneously
  • You have excellent written and verbal communication, prioritization, and organizational skills and can effectively interact with senior leadership and associates at all levels
  • You are proficient in MS Office (Microsoft Word, Excel, PowerPoint, Outlook) and able to learn new programs as needed
  • You have a sense of ownership and are able to proactively identify and resolve issues, create efficiencies, work independently and are able to operate in a high-volume environment managing multiple priorities
  • You are extremely diligent and possess strong communication and organizational skills
  • A flexible teammate willing to get involved and assist the larger team including backing-up peers


The Value You Deliver

  • Draft and edit department and leadership written communications. Maintain (organize/update) the calendars, regular meetings, meeting agendas, and reports for key executives across sites
  • Plan travel and submit expense reports, coordinate high-level onsite and offsite meetings, maintain varied data for managers, communicate regularly with team leaders on regular requirements/reports
  • Submit facilities and technology requests, maintain, and distribute monthly onsite departmental seating chart/move information, maintain departmental office supplies and equipment
  • Communicate with managers and executive assistants outside the department and across functions and other business units to ensure proper communication and execution of projects/meetings
  • Coordinate and implement special projects as needed, assist associates with varied administrative and functional needs as requested
