Assistant Manager - Facilities & MIS

Overview of the Role:

As the Assistant Manager- WPE, MIS and PMO, you will be responsible for creating and maintaining business systems and protocols enabling world class, safe, sustainable and flexible workplaces to create consistent workplace experience for our employees in India offices. You will collaborate with key stakeholders and partners to create, develop and maintain Infrastructure, Systems, Controls and Governance mechanisms contributing to an engaging and productive workplace environment that aligns with Sinch's values and culture.

Key Responsibilities include:

1.      Financial management:

    • Own the RE & FM budgets from planning to forecasting to expense tracking. Work with FM ops team and AP for correct booking of actuals timely.
    • Spend Management: Undertake real time Variance analysis (Budget vs Actuals), lead spend correction planning and executing spend controls. 
    • Various administrative tasks, e.g. manage PRs, Lease tracking, program manage changes, Quarterly and annual Cash flow projections.
    • MIS and Reporting: Maintain and report financial and operational data, maintain MIS of services and changes and report monthly and quarterly on performance metrics for department and suppliers.
    • Contract Administration: Manage contracts and agreements for FM services across the region including Lease, CAM, FM, Security, M&E, AMC, Parking etc.
    • Invoice management: Own invoice management between operations and AP and support streamlining workflows by digitization and automation.
    • Database and Records Management: Own and manage departmental records and databases and ensure team’s compliance to protocols.

2.      Facility Management:

    • Support overall facility operations of multiple offices, ensuring all functions run smoothly and efficiently.
    • Enable Workplaces, FM Services and support Operations health and safety delivery according to regulation.

3.      Stakeholder management:

    • Curate, Cultivate and maintain relationships with all Upstream stakeholders (i.e. Sinch Business Leaders in the region) rendering ensure FM support to meet business objectives. Assist, consult, advise and guide Sinch colleagues on Facility and Travel services.
    • Establish, build and maintain downstream relationships with RE FM stakeholders like Landlords, property managers, office suppliers, sub-contractors etc. to enable deliveries and project works to be scheduled and completed.

4.      Hospitality and Office Events Support:

    • Support execution of all workplace events in line with the activity calendar with consistent delivery across India ensuring high level of employee engagement.
    • Enable management of events for multiple offices. End to end, booking, planning, executing.

5.      Audits and Compliance:

    • Ensure all our facilities and services are fully compliant to all statutory norms and client requirements. Support First, Second- and Third-Party Audits of all our premises.
    • Support closures of all actionable observations.  
    • Facilitate implementing industry best practices to improve standards of workplace services. 

6.      Program Management and Communication:

    • Lead and manage all departmental communications including employee messaging, stakeholder communication and team communication.
    • Single Point of Contact (SPOC) for the Sinch REFM team on any MIS and Management reporting.
    • Programs manage any local implementation of policies and procedural changes e.g., process automation etc.  
    • Working closely with HR from a cultural perspective for a great Workplace experience to colleagues.
    • Work closely with HR and Internal IT to support the new starter on boarding process with courier for laptops, pickups and new starter passes
    • Manage any internal communications where required, for example global public holidays and new starter weekly email.

Requirements 

·       Bachelors degree (full time) from recognized college.

·       Min. 6 years proven experience in workplace services or facilities management roles. 

    • Proven experience in workplace or facilities management MIS roles.
    • Strong ownership and Follow up
    • Experience in working collaboratively managing relationships with internal stakeholders, external vendors and service providers.
    • Strong project management and coordination skills.
    • Excellent communication and interpersonal skills.
    • Proactive and solution-oriented mindset.
    • Attention to detail and ability to prioritize tasks.

·       Proficient workplace tools and solutions – MS office, Teams etc. High level proficiency in MS Excel

    • Experience in technology or telecommunications or FM industry is a plus.
