The Senior Payroll Specialist (specializing in UKG Pro/Ultimate/UltiPro) will oversee and manage the organizations payroll functions, ensuring pay is processed on time, accurately, and in compliance with government regulations. This role is also responsible for assisting in corporate benefits administration, compensation reporting, and the HRIS subject matter expert.
ESSENTIAL DUTIES/ RESPONSIBILITIES:
- Implements, maintains, and reviews payroll processing systems to ensure timely and accurate processing of payroll transactions including salaries, benefits, garnishments, taxes, and other deductions.
- Ensures accurate and timely processing of payroll updates including new hires, terminations, and changes to pay rates.
- Maintain up to date records on all tax codes, tax jurisdictions, location codes, and state and local registrations as necessary.
- Prepares and maintains accurate records and reports of payroll transactions.
- Facilitates audits by providing records and documentation to auditors.
- Identifies and recommends updates to payroll processing software, systems, and procedures.
- Maintains payroll information by designing systems; directing the collection, calculation, and entering of data.
- Updates payroll records by reviewing and approving changes in exemptions, insurance coverage, savings deductions, and job titles, and department/ division transfers.
- Troubleshoots and resolves any payroll related or payroll system related issues.
- Pays employees by directing the production and issuance of paychecks or electronic transfers to bank accounts.
- Prepares reports by compiling summaries of earnings, taxes, deductions, leave, disability, and nontaxable wages.
- Determines payroll liabilities by approving the calculation of employee federal and state income and social security taxes, and employer’s social security, unemployment, and workers compensation payments.
- Balances the payroll accounts by resolving payroll discrepancies.
- Provides payroll information by answering questions and requests.
- Maintains payroll guidelines by writing and updating policies and procedures.
- Complies with federal, state, and local legal requirements by studying existing and new legislation; enforcing adherence to requirements; advising management on needed actions.
- Maintains employee confidence and protects payroll operations by keeping information confidential.
- Assists employees regarding benefits claim issues and plan changes.
- Fields questions from employees regarding payroll, time entry, benefits, leave of absence, or system related issues.
- Processes and administers all leave-of-absence requests and disability paperwork: medical, personal, disability and FMLA.
- Assists with the open enrollment process
- Serves as the HRIS subject matter expert and keeps abreast of all HRIS changes and releases.
- Runs reports out of the HRIS system for various stakeholders upon request.
SPECIFIC KNOWLEDGE & SKILLS REQUIRED:
- Expert knowledge with UKG Pro/Ultimate/UltiPro payroll software
- Open Air a Plus
- Extensive knowledge of the payroll function including preparation, balancing, internal control, and payroll taxes.
- Excellent organizational skills and attention to detail.
- Strong analytical and problem-solving skills.
- Strong customer service demeanor
- Proficient with Microsoft Office Suite or related software.
- Experience with benefits administration systems preferred.
