Sr. Accounts Payable Specialist

Purpose of the Position:

Reporting to the Accounts Payable Manager, this position supports the Accounts Payable function with day-to-day invoice processing, vendor/invoice research and maintenance, and month-end close.


UMA is a nonprofit healthcare educational institution with a national presence. Headquartered in Tampa, Florida and founded in 1994, UMA offers content-rich, interactive online programs as well as hands-on training at our Clearwater, Florida campus.

  • Anticipated starting salary of $60,000; pay rate negotiable based on experience and qualifications.

Key Responsibilities:

Functional:
  • Full-cycle accounts payable-matching, batching and coding
  • Review Accounts Payable Clerk’s batch entries
  • Manage payment runs for all companies
  • In charge of off-cycle Payroll check run process
  • Work with vendors to problem solve and clarify invoices
  • Follow up with purchase order originators on payable status
  • Reconciliation of vendor invoices and statements
  • Maintain vendor files for various companies
  • Assist with monthly A/P close process
  • Assist AP Manager with Yearly 1099 reporting.
  • Demonstrates knowledge of, and carefully follows all applicable federal and state compliance requirements and regulations including those prescribed by the Department of Education, Accrediting agency, CIE, and internal UMA policies and procedures.
  • Effectively communicates compliance requirements to students and other staff as appropriate and quickly escalates any compliance concerns to the Compliance department.
Support Institutional Initiatives
  • Keep current on institutional goals, objectives, and progress
  • Engage in institutional sponsored activities and initiatives as appropriate
  • Lead with courage in support of change initiatives that impact organization
  • Manages and assists in coordinating efforts between departments within UMA
Compliance:
  • Demonstrates knowledge of, and carefully follows all applicable federal and state compliance requirements and regulations including those prescribed by the Department of Education, accrediting agencies, CIE, and internal UMA policies and procedures.
  • Effectively communicates compliance requirements to students and other staff as appropriate and quickly escalates any compliance concerns to the Compliance department.

Work Experience, Skills & Abilities:

Minimum Requirements:
  • 3-5 years of relevant work experience required
  • Degree in Accounting or equivalent preferred
  • Knowledge of Microsoft Dynamics GP required
  • Knowledge of US GAAP principles required
  • Strong Excel skills and proficient in MS Office (Word, PowerPoint) and other business tools such as Skype and Microsoft Teams
  • Able to professionally communicate in verbal and written English
  • Able to support a diverse and inclusive work environment
  • Ability to maintain strict confidential standards
  • Ability to professionally interact with senior management
Preferred Requirements:
  • Associate degree in Accounting or Finance
  • Experience in multiple ERP environments
  • Strong analytical skills and detail oriented
  • Strong work-ethic
  • Dependable and ability to multi-task and follow through
  • Ability to exercise good judgment and handle confidential information
Working Environment:
  • Ability to work full-remote, on-site, or a hybrid attendance model
  • Flexibility to work evenings and weekends as needed.
Physical Demands:
  • Requires long periods of sitting at a desk working on a computer
  • Requires ability to travel
  • Requires occasional bending, stooping and squatting
  • Requires occasional lifting of up to 10 lbs.
