Our opportunity:

The Sr. Business Operations and Communications Director in the CEO Office will play a critical role in our organization by providing exceptional project management and communication support to the CEO Office. Ensuring the CEO’s various projects are moved from idea to completion. The position will manage key projects / deliverables and drive these initiatives across the organization to successful conclusion. You will coordinate all phases of project management including planning, executing, monitoring, and closing. You will work closely with the CEO on communications and will serve as a liaison on assigned key initiatives with other teams both within and outside of the organization. Additionally, the Sr. Business Operations and Communications Director will work in concert with the Head of the CEO Office and coordinate with the Executive Assistant to the CEO to ensure alignment on all initiatives.

Location: San Jose, CA Bay Area

You will make an impact by being responsible for:

Communications

  • Creating and maintaining the CEO Office messaging including strategic presentations and written executive updates to key staff and customers
  • Creating communications for the CEO’s review and releasing both internally within the organization and externally to constituents, media, and the Board of Directors (BOD)

Project Management

  • Managing special projects on behalf of the CEO Office establishing timelines, coordinating project deliverables with other teams and/or external organizations
  • Executing research and data analysis, and evaluating and updating project status for reporting and decision making, recommending adjustments when necessary

Board Support

  • Serving as a key team member in the office of the CEO with respect to Board Of Directors (BOD) communication
  • Ensuring any communication with the BOD is handled in a highly professional manner
  • Working with the Executive Assistant to the CEO to ensure logistic support from the Office of the CEO to the BOD and their support teams is provided in an exceptional and highly professional manner

CEO Meeting Support

  • Partnering with the Executive Assistant to the CEO to create and disseminate materials for all meetings attended by the CEO
  • Providing strategic content support for meetings attended by the CEO as needed. This includes creating agendas that have been agreed upon in advance by all meeting attendees; taking, creating, and monitoring the status of meeting action plans; and coordinating and delegating tasks throughout the organization that are necessary for follow-up

Collaboration and Preparation

  • Regularly collaborating with colleagues, including senior leadership team members, to effectively prepare and brief the CEO for meetings, events, and speaking engagements
  • Partnering with the Head of the CEO Office and the Executive Assistant to the CEO to revise the CEO’s schedule, priorities, travel agenda when necessary, based on strategic business needs

CEO’s Executive Team Relations

  • Providing ongoing strategic support to the CEO’s executive leadership team. This includes following up on action items that have been agreed upon in advance by all meeting attendees; taking, creating, and monitoring the status of meeting action plans; and coordinating and delegating tasks throughout the organization that are necessary for follow-up
  • Ensuring that the Office of the CEO is viewed as responsive, accessible, and professional in all dealings with the CEO executive team

Organization

  • Working under the direction of the Head of the CEO Office and coordinating with the Executive Assistant to the CEO to prioritize the CEO’s evolving list of responsibilities and requests against organization-wide goals and deadlines
  • Helping ensure that the CEO’s schedule reflects most current organization priorities
  • Understanding organizational structure, operations, policies, and procedures with the ability to facilitate response to questions and/or communicate information

You will be a great fit if you have:

  • Bachelor’s degree in Business, Communications or related field
  • 10+ years overall work experience, within the SaaS/Tech industry preferred
  • 5+ years of experience providing high-level project management, communications, business consulting and/or operational support to the C-Suite
  • Experience creating and implementing project management plans including scope, schedule, cost, quality, and resources
  • Ability to set priorities, manage workload, and have a proven record of goal attainment
  • Experience leading and participating in collaborative teams

The base salary range for this position in California, New York, and Washington is $228,000 – $285,000 and outside of those locations is $206,000 – 258,000 a year. The base salary ultimately offered is determined through a review of education, industry experience, training, knowledge, skills, abilities of the applicant in alignment with market data and other factors. This position is also eligible for a discretionary bonus, equity and a full range of medical and other benefits.
