We have an opportunity at our corporate offices in Chicago for a Staff Assistant II on our AMA Foundation team. This is a hybrid position reporting into our Chicago, IL office, requiring 2 days a week in the office.

As a Staff Assistant II, you will be responsible for providing general administrative support for the Development Team at the AMA Foundation. Responsibilities include drafting reports, correspondence and other documents; screening incoming communications and resolving inquiries; coordinating schedules and updating calendars; planning and facilitating events; maintaining records and files; arranging travel; and general office duties.

RESPONSIBILITIES:

  • Administrative
    • Provide staff support to Development Team in a variety of areas, including travel arrangements, travel reimbursements, coordinating event invitations, coordinating routine communications with outside organizations.
    • Responsible for administrative activities related to staff, committee, and donor meetings.
    • Assist with wide range of ad hoc administrative projects and reports. Coordinates social, VIP and leadership events relating to other meetings/conferences, including AMAF Board Meetings.
    • Scheduling meetings, calls, etc
  • Documentation
    • Researches, compiles, assimilates, and prepares documents. Briefs team members regarding content when appropriate.
    • Prepares agenda and collects and distributes materials for meetings and conferences.

May include other responsibilities as assigned

REQUIREMENTS:



1. High School diploma or GED required
2. A minimum of three years’ experience in an administrative role
3. Strong organizational skills, able to manage multiple projects at once


4. Excellent oral and written communication skills, including the ability to proofread documents for spelling, grammar, etc.


5. Able to work independently, sometimes with little direction


6. Ability to follow complex instructions and to apply instructions and guidelines in the disposition of problems.


7. Proficiency in Microsoft Office Suite.


8. Ability to maintain to remain calm and act with integrity when faced with difficult situations.


9. Ability to communicate effectively with employees of all levels within the organization, as well as donors, board members, and the public
