Executive Assistant

The Student Senate for California Community Colleges (SSCCC) is looking for an energetic, organized, creative, results-oriented professional to fill the position of Executive Assistant. The Executive Assistant should be able to constantly address requests from the Board and integrate this work into the Executive Director’s schedule. The Executive Assistant will perform day-to-day administrative tasks including but not limited to:

  • Prepare material for meetings, take minutes, and generate reports on projects.
  • Manage board reports, mass email updates, and support onsite board meetings.
  • Attend monthly Board of Director meetings and conferences with the Executive Director.
  • Assist with the preparation of the Board agenda and other meeting materials.
  • Track assignments, document, and follow up on key items.
  • Prepare invoices, credit card reconciliations for multiple accounts, and other fiscal documents.
  • Assist with preparing quarterly reports
  • Answer correspondence and compose letters.
  • Manage email and internet communication between the Executive Director, Board, and staff.
  • Attend staff meetings and prepare notes for distribution to the Executive Team.
  • Assist with the coordination of SSCCC-related conferences/events.
  • Manage Action Network Monitor and website maintenance.
  • Order and inventory office supplies and services.
  • Manage the process for verifying eligibility for board membership.
  • Oversee registration for staff and board members for external conferences.  
  • Arrange Board and staff travel
  • Understand and learn the SSCCC policies and procedures
  • Perform other duties as assigned

Education and Experience

  • Associate degree required, Bachelor’s degree in a related field preferred
  • Three to five-plus years of Executive Assistant experience

  • Strong interpersonal skills and the ability to deal effectively with a diversity of individuals at all organizational levels and provide a high level of customer service
  • Strong computer skills, with advanced knowledge of MS Word, Outlook, Excel, PowerPoint and Google Docs
  • Capable of working both independently and in collaborative team environments
  • Positive attitude, energetic spirit, and practical problem-solving ability
  • Detail-oriented with ability to prioritize projects and to work within deadlines and shifting priorities
  • Must possess excellent analytical, written and communication skills with the ability to operate in a fast-moving environment
  • Ability to set up and maintain administrative processes and systems and organize office
  • Diplomacy and tact essential in working with board members
  • High level of personal and professional integrity and ethics.
  • Proactive in taking action on future tasks
  • Willingness to work enthusiastically and patiently within constantly changing priorities
  • Demonstrated ability to plan and execute projects
  • Ability to travel once a month plus attending week-long conferences.

Hybrid Work Schedule

  • Monday and Friday remote
  • Tuesday, Wednesday, Thursday in office

SSCCC provides medical, vision, and dental paid at 100% for the employee. Retirement 100% contribution in 403(b). Paid holidays, vacation, and a competitive salary based on experience.
