About The Role:
Operational Travel Management
- Leads the travel management team including support personnel and third-party contractors engaged from travel booking through the reporting process.
- Maintains awareness of security and safety issues / communications on travel policy
- Reconcile Conferma hotel account. Call hotels for copies of hotel receipts, approve travel for out of policy travel requests or when budget holder is unavailable.
- Interacts with employees, management, travel agents and suppliers to resolve customer service issues.
- Interacts with contracted travel agent to ensure the signed agreements are followed.
- Work with Accounting to download toll invoices.
- Work with Accounting to do coding for car rentals and for T.EN flights.
- Accounting coding correction when needed.
- Code Mexico credit cards used to book hotel and flights (1004 and 1009)
Change & Demand Management
- Develop and implement the travel program strategy and policies.
- Coordinates the integration of new software and tools aligning with existing policies and procedures.
- Creates training programs to ensure compliance with systems and procedures established for safe and efficient travel practice.
- Work with HR, Sourcing, and finance to successfully execute and audit compliance with the policies and procedures.
- Implementation of new travel programs and processes for all the locations in Americas (North and South America).
Reporting
- Providing key stakeholders in all markets with relevant reporting (spend and behavior), continually update leadership on KPI’s. Follow up on discrepancies noted.
- Monitoring effectiveness of Travel Policy and providing feedback to provide continuous improvement.
- Ensures that travel needs are met within the constraints of the Company’s travel budget and guidelines.
- ESG – monitoring and minimizing CO2 emission in travel arrangements and contributing to the NetZero 2030 goal.
Optimization
- Support strategic sourcing strategy through regular interaction and feedback.
- Assist HR and sourcing with development & implementation of policy, procedure & program management.
- Responsible for actions, targets & goals as outlined within regional level business plans.
- Manages the budget for the Americas Travel program.
Program & Support Team Management
- Interaction with Corporate travel group to implement travel policies and regulations, as well as taking care of ad hoc travel related requests from Corporate.
- Work with Corporate travel management, travel program management & business operations teams to implement recommendations.
- Supports sourcing in negotiations of Travel related contracts.
- Supervises, guides and trains employees in travel guidelines and procedures.
Communication & Best Practice Sharing
- Manages travel website content, ensures information accuracy and seasonal validity.
- Communicates travel program values and benefits to employees through training, business unit communications and travel website.
- Report benchmark industry standards and new industry trends.
About You
We’d love to hear from you if your profile meets the following essential requirements:
- Bachelor’s degree in Business, Management or related field, or equivalent work experience.
- 10+ years’ experience in travel management, quality change management or related field.
- Experience in managing a team and working in cross-functional/matrixed organization.
- Experience in travel agent change management.
- Knowledge of and experience with major reservations software programs.
- Knowledge of and experience with Microsoft Office products.
- Knowledge of and experience with international geography, routings, marine and offshore pricing.
- Familiar with a variety of the travel field's concepts, practices, and procedures.
- Bilingual (English and Spanish) is a plus.
