Position SummaryThis position may be eligible for a hybrid work arrangement that may include a partially remote work location, consistent with System Office policy. UNC Chapel Hill employees are generally required to reside within a reasonable commuting distance of their assigned duty station. THIS IS A TIME LIMITED POSITION This is a full-time professional position based in the UNC Gillings School of Global Public Health: North Carolina Institute for Public Health ( NCIPH ). The mission of NCIPH is to collaboratively lead and foster innovative solutions to public health challenges in NC and beyond, by creating systems, policies, and programs that work for all. NCIPH is part of the Department of Public Health Leadership and Practice ( PHLP ). The Event Planner will lead and coordinate work related to the planning and implementation of NCIPH and PHLP events, trainings, meetings, and conferences. This role works with staff, faculty, students, university colleagues, partner institutions and sponsors, venues, presenters, diverse participants, and community members to coordinate all aspects of events including: planning, procurement, registration, communications, and logistical support. The role will be primarily focused on supporting project work under recently received PHIG contracts, alongside a second event planner working separate events and programs. This position will carry out activities related to purchasing, procurement, record retention, budgeting, expense transactions, and financial monitoring and reporting for events. The role will be responsible for upholding applicable policies and procedures, as well as helping to identify and recommend process improvements to balance service delivery with fiscal stewardship. Work will require regular engagement with a diverse range of professionals, for events primarily based in North Carolina. This role will be expected to comply with university guidelines about hybrid work and to participate in in-person events and meetings. This position requires occasional work on nights and weekends, as well as overnight travel (car and plane) which may require longer work hours (more than 8 hours/day and some weekends).Required Qualifications, Competencies, And ExperienceStrong interpersonal skills. Able to collaborate effectively with colleagues, community members, external vendors, and other institutional partners. Able to work independently within a team-based structure to accomplish goals and objectives according to event timelines. Able to work efficiently in a fast-paced environment and be able to handle multiple tasks. Able to work efficiently and keep track of the logistical details of a high volume of events. Able to provide updates and clear reports on logistical planning for events to departmental leadership and staff. Proficiency with Zoom, and Microsoft Office suite including Word, Outlook, Excel, and Teams/SharePoint. Strong verbal and written communication skills; detail oriented. Possession of a valid NC driver’s license for travel to a variety of venues. Able to travel independently and manage the setting up and dismantling of program materials. Occasional travel on weekends. Able to perform light lifting/moving of boxes up to 10lbs each. Scheduling flexibility to allow for work on some evenings and weekends. Able to interact cooperatively and sensitively with individuals from other cultures, ethnic groups, lifestyles, and backgrounds.Preferred Qualifications, Competencies, And ExperienceDemonstrated skills in events or project management, preferably in an academic or nonprofit setting. Successful track record of planning, coordinating or managing logistics for complex events, preferably in a higher education setting. Demonstrated interest in public health with some experience in the field is considered a plus. Experience with using technology platforms used for setting up and managing registration such as Cvent and DestinyOne. Proficiency in hosting large online events via virtual platforms such as Zoom. Some experience in website management or other communications software is considered a plus.
