Job Summary:The Deputy Vice Chancellor for Diversity & Inclusion and Vice Provost and Chief Diversity Officer (DVCDI/VPCDO) is seeking an Executive Assistant (EA) to join the senior leadership support team.This position in the Division of Diversity, Equity & Educational Achievement (DDEEA) provides administrative support to the Deputy Vice Chancellor for Diversity & Inclusion and Vice Provost and Chief Diversity Officer (DVCDI/VPCDO to advance their vision and strategic priorities for the university. The ideal candidate will have a demonstrated track record of success in communicating effectively, well developed organizational and time management skills, attention to detail, and collaborative relationship development.This critical EA position will report directly to the DVCDI/VPCDO and will be responsible for managing calendars, meeting requests, logistics, and preparatory materials. Working in a fast-paced environment, this role will manage correspondence and communications from a variety of stakeholders. The EA is responsible for administrative and project support. An ideal candidate will be proactive, adaptable, solutions-oriented, and will respond well to changing needs and shifting priorities.Responsibilities:Provides administrative support for a leadership position with institutional influence and oversight (Chancellor, Vice Chancellor, Associate Vice Chancellor, and/or Provost, as defined by the institution). Utilizes discretion and operates independently with minimal supervision.• 25% Schedules logistics for meetings, conferences, and travel and organizes schedules for a leadership position with institution wide authority• 25% Compiles, screens, and evaluates correspondence and reports and recommends actions• 20% Develops and facilitates communications of varying complexity between various internal and external stakeholders• 15% Manages the organization, auditing, security, and confidentiality of records and files• 5% Monitors budgets and reviews and approves expenditures• 10% Manages projects as assigned by the Deputy Vice Chancellor for Diversity & Inclusion and Vice Provost and Chief Diversity Officer (DVCDI/VPCDO)Institutional Statement on Diversity:Diversity is a source of strength, creativity, and innovation for UW-Madison. DiplomaQualifications:Required:- At least 3 years of related experience (i.e. administrative, or executive assistant)- At least 5 years of experience working in higher education, or a similar large complex organization- Strong written communication and editing skills- Advanced technical / computer skills (e.g., MS Word, Excel, PowerPoint, SharePoint)- Ability to manage and prioritize multiple and high-level competing priorities in a dynamic environment- Ability to build collaborative relationships and functional working teams with people from diverse backgrounds- Demonstrated analytical and problem-solving skills; ability to apply sound judgment and make effective decisions- Demonstrated ability to exercise discretion- Experience maintaining and protecting confidential informationPreferred:- Previous UW experience- Knowledge of UW Madison policies and programs- Experience supporting a high-level executive, skilled in navigating dynamic organizational relationshipsWork Type:Full Time: 100%It is anticipated this position requires work be performed in-person, onsite, at a designated campus work location.Appointment Type, Duration:Ongoing/RenewableSalary:Minimum $65,000 ANNUAL (12 months)Depending on QualificationsThe starting salary for a candidate who needs to learn the responsibilities of the position and is not yet performing the full scope of the position is $65,000. The starting salary for an experienced candidate who can fulfill most job responsibilities independently is $70,000.
