Job Description

The Executive Assistant role directly supports the Senior Vice President, Chief People Officer, Visa Europe. Responsibilities include scheduling, team communication, expense management, coordinating travel, event planning, team building, and operational support.

This is an ideal position for an individual with an administrative and planning background, looking to develop their capabilities, working in a dynamic, fast-paced environment with a lively, energetic team.

What we expect of you, day to day.

Administrative Responsibilities

  • Executive scheduling: Assist in the management of the senior executive’s calendar including scheduling meetings, setting up conference calls and arranging travel.
  • Activity Reporting: Create and maintain weekly/monthly/quarterly department reports that document team activities. Support ongoing communications within the Europe People team, including compiling agendas and drafting recaps.
  • Logistical Coordination: Plan and manage all logistics related to executive travel and executive/team meetings and events (onsite and offsite).
  • Document Maintenance: Maintain communications process documentations, distribution lists, assets library and message archives in accordance with records management requirements.
  • Training Programmes: Arrange and coordinate functional training programmes for the Europe  People team in partnership with key business partners (e.g., finance/procurement). 
  • Liaison: Communicate with a broad range of Visa professionals on behalf of the department. Partner and coordinate workload with other administrative team members.
  • Event Planning: Coordinate logistics of People team all staff meetings and team building events.
  • Communication: Draft, review and send communications on behalf of executive to staff, other company executives, internal bulletins and any appropriate external channels, i.e. LinkedIn
  • Assist with developing and updating PowerPoint presentations, Excel spreadsheets and other related materials as needed.
  • Maintain confidentiality and handle highly sensitive information with discretion all times.

This is a hybrid position. Hybrid employees can alternate time between both remote and office. Employees in hybrid roles are expected to work from the office 2-3 set days a week (determined by leadership/site), with a general guidepost of being in the office 50% or more of the time based on business needs.

Qualifications

  • Administrative experience in Executive Assistant support, must have experience in supporting senior executives in a fast-paced, public-facing executive office.
  • Strong verbal and written communication skills, excellent attention to detail and an ability to communicate effectively with all levels.
  • Demonstrated professionalism and experience in working with highly confidential information.
  • Exercise excellent judgment in time management, setting priorities and interacting with internal and external contacts.
  • Can-do attitude and team player mentality, must be proactive, dependable and solution oriented, looking for ways to add value and assist the team.
  • Strong interpersonal skills.
  • Exceptional project management capabilities.
  • Work well under pressure and respond to tight deadlines, able to organize and prioritize across competing priorities.
  • Ability and openness to actively use different internal systems (e.g. Ariba, Concur etc.) and technology – to complete tasks.
  • Advanced MS Office skills (Teams, Word, Outlook, Excel & PowerPoint).
