In this role you will be creating an enjoyable and productive environment for all Illumineers Worldwide.
Everyday you will manage the day to day operations at HQ including the facilities, food vendors and other programs which encourage employees to participate in the office environment.

The Illumio Real Estate & Workplace Services (REWS) Team prides itself on being the backbone of the company. To support our extraordinary teams, we're looking to add a Workplace Services Manager located at HQ in Sunnyvale, CA. Reporting to the Head of Real Estate & Workplace Services, our goal is to provide a great workplace experience where all Illumineers can operate efficiently and effectively in a clean, safe and fun environment.
Manage / Supervise employees (and / or subcontractors / outside vendors) involved in building/facilities activities such as cleaning, reception, event planning, security, catering, ergonomics, space utilization and strategy, files and records, office supply, and office equipment
Manage Workplace Services: Seat assignments, meeting rooms servicing, preventative and corrective maintenance programs and emergency response
Collaborate with IT and People Operations for updating site/cube maps, occupancy reports, and onboarding / off-boarding protocols
Responsible for the coordination and execution of small workplace projects that may include people moves, tenant improvements, maintenance, repairs, etc.
Handles administrative functions including tracking of all expenses, PO creation and monitoring, ordering and maintaining supplies/equipment, and preparing reports on activities including costs for snack usage and lunch orders
Help schedule the events calendar for the year, and take part with various employee groups to schedule, facilitate and plan employee events such as happy hour, special holiday events and intern events during the summer.
Back up for receptionist for lunch, breaks and PTO, including greeting of clients, employee badging and providing concierge level of service to employees and guests
Managed the Safety Team; assist with coordinating fire drills, emergency procedures, etc. also enforcing safety rules and governmental regulations as communicated by the REWS and People Operations Departments.
Develop and Deliver Process and Procedure standards and improvements for: office workflow, physical operations, and vendor protocols
Always ensure full compliance with all legal and statutory requirements, including Health & Safety, Fire, Sustainability, etc.
Deliver KPI reporting, graphs and charts on caseload, enviro audits, vendor service tracking, real estate analytics - to upper management
Guide, coach and educate receptionist for increased efficiencies & growth
Co-develop security awareness plans with Head of Real Estate & Workplace Services
Other duties as assigned by Head of Real Estate & Workplace Services
Bachelor's Degree (B.A./B.S.) or equivalent in Business Administration, Project Management, Finance or Accounting fields. MS or MBA preferred
5 years of experience in similar role
Experience managing projects

Spanish language skills is a plus

Pay Range:
$ 109,000.00 USD - $ 125,000.00 USD
The pay range for this job level is a general guideline only and not a guarantee of compensation or salary.
