This is a great opportunity for an experienced Project Coordinator to join a fast-paced Canadian construction company made up of fun and intelligent people working together in a progressive workplace.

Overall purpose and responsibilities of the role:

The role involves managing simultaneous projects, coordinating tasks between local and offshore teams, and working closely with the Project Manager. Key responsibilities include hosting weekly client meetings for status updates and quality reports, managing subcontractor contracts and RFIs, supervising engineers, and maintaining project dashboards. The role requires regular collaboration with the project coordinator, operations team, and subcontractors, as well as organizing critical internal meetings. Additionally, it involves fostering team engagement through weekly social hours and holding one-on-one updates with the direct supervisor to ensure smooth project delivery.

 

Duties and Responsibilities:

We are seeking a full-time, remote working candidate for a long-term career opportunity who will work in our Pacific Time Zone (PT).  The ideal candidate will be positive, fun-loving, self-motivated, flexible, detailed oriented, and experienced in construction.  He/she will need to have access to their own workspace with a high-quality internet connection for taking professional video calls and making phone calls during work hours.

RESPONSIBILITIES:

  • Take full responsibility for all key project results: budget, schedule, safety and client satisfaction.
  • Lead structured weekly client meetings providing project status updates, addressing critical issues, analyzing and mitigating project risks, providing creative solutions and instilling confidence in the client that their project is proceeding according to plan.
  • Report to the management biweekly on project Budget, Schedule, Client Communications, Change Orders, Cash Flow and Project Risk.
  • Develop and maintain execution plans, QC plans, safety plans, and schedules (using MS Project or P6 Primavera).
  • Manage structural steel design: ensure design engineers are on task, budget and schedule and are communicating effectively to meet the needs of the project.
  • Prepare detailed project status reports as required by the company/client, present reports electronically or in person, speak to project status and provide reasoning where necessary.
  • Value engineers the project design where possible and propose creative solutions.
  • Negotiate best pricing with vendors whenever possible.
  • Plan, execute and properly contract all scopes and subcontracts according to company’s established procedures with help from company’s Contract Manager.
  • Estimate new project scopes where necessary.
  • Plan, quote and track change orders for any work outside of the contracted scope.
  • Maintain an ongoing Vendor Matrix & Lessons Learned log for each active project.
  • Develop and maintain project schedules when necessary.
  • Organize and maintain all project documents according to established company process.
  • Maintain active site presence when necessary.
  • Report to Senior Project Manager or Project Director on larger projects involving multiple PMs.
  • Mentor upcoming employees: Project Coordinators, etc.
  • Protect the company’s interests both legally and financially with suppliers, subcontractors, and clients. Ensure that projects are completed, and the company is paid without the need for the involvement of legal counsel.

Degree in Engineering, Construction or a related technical field from an accredited institution.

Minimum of 10 years’ experience in Project Coordination or Project Management on large structural steel building projects in the $5MM - $40MM CAD range. (both convention and pre-engineered) in heavy and light industrial settings.

PMP designation or other project management related course completed is advantageous.

Clean and clear English and effective communication (via phone, video calling and email) is critical to interact with local Canadian teammates, clients and suppliers.

Ability to prioritize and manage multiple projects and deadlines and enjoy working in a fast-paced environment. Stays calm and rational under pressure.

Strong knowledge and understanding of various types of construction contracts (eg: lump sum, time & materials, cost plus). Ability to read and understand contract language and apply/enforce the terms of the contract as they relate to clients, suppliers, and/or subcontractors.

Understanding of project QC requirements including the development and implementation of ITP’s, inspections, etc.

Strong knowledge of current construction types and costs (what is considered a good price for specified building components and scopes of work) and different construction contracts.

Excellent communication skills, both verbal and written

Technically savvy and up to date with most current software, industry practices, etc. Ability to learn how to use new software quickly and efficiently.

Ability to maintain highest levels of honesty, integrity, and ethics in difficult situations.

Must have experience with the following software: Outlook, Word, Excel, Planner, MS Project and Teams.
