Purpose

Plan and execute internal event requests from Faculty, Staff and Students at the University of Texas School of Law ensuring that all events run smoothly and are aligned with the Law School's mission of excellence.

Responsibilities

  • Under the leadership of the Director of Alumni Events, the Event Coordinator will plan and execute Texas Law alumni events from start to finish, processing all necessary event requests, payments, and contracts as required by university policies. Identify vendors and confer with broad-based constituencies regarding logistics, event goals, and objectives. Planning for potential scenarios that could impact the integrity of the event. Occasional travel and work after hours and weekends.

  • Collaborate with the Director of Alumni Events, Director of Alumni Relations, Senior Events Program Coordinator, peer Law School staff, and student associates to collectively coordinate and execute events for the Law School.

  • Create and maintain events calendar, event folders, and event landing pages simultaneously operating on multiple online platforms. Performing complex administrative tasks, such as managing RSVPs, event budgets, expense forms, and printing event materials for various events simultaneously. Keep inventory of event supplies.

  • Work closely with student associates to complete their event-assigned duties, delegate event tasks, and provide direction and feedback appropriately and professionally.

  • Other related functions as assigned.

Required Qualifications

  • Bachelor's degree.

  • Three years of experience coordinating a wide range of events.

  • Excellent communication skills and detail oriented.

  • Demonstrate the ability to prioritize responsibilities, problem solve, manage multiple concurrent projects, and meet deadlines.

  • Show initiative and good judgment.

  • Able to work independently and as a part of a team.

  • Strong positive interpersonal and customer service skills.

  • Must be composed and professional under stress to effectively represent the Law School.

  • Proficiency in MS Outlook, MS Excel, and MS Word.

Relevant education and experience may be substituted as appropriate.

Preferred Qualifications

  • More than the required years of experience in event coordination.

  • Excellent project management and organizational skills.

Salary Range

$50,000 + depending on qualifications

Working Conditions

May work around standard office conditions. Repetitive use of a keyboard. Lifting and moving as associated with set up and break down of events. Duties require some evening and occasional weekend work to coordinate special events and programs as needed.

Employment Eligibility:

Regular staff who have been employed in their current position for the last six continuous months are eligible for openings being recruited for through University-Wide or Open Recruiting, to include both promotional opportunities and lateral transfers. Retirement Plan Eligibility:

The retirement plan for this position is Teacher Retirement System of Texas (TRS), subject to the position being at least 20 hours per week and at least 135 days in length.
