Accounts Payable Clerk & Receptionist

Description:

OVERVIEW

Responsible for performing routine accounting activities to ensure the overall health of the accounts payable function, while providing front desk coverage, and ensuring the area are organized and presentable.

DUTIES AND RESPONSIBILITIES

Accounting Tasks

  • Perform day-to-day financial transactions, including verifying, coding, and recording accounts payable data
  • Ensure that all invoices have been approved before processing for payment.
  • Match vendor invoices to Purchase Orders and assist in resolving any discrepancies.
  • Monitors Accounts Payable email for incoming vendor bills and assists in responding to vendor inquiries.
  • Performs other accounting duties as assigned that may be related to accounts receivable.
  • Reconcile the accounts payable ledger to ensure all bills and payments are accounted for and properly posted.
  • Verify and resolve discrepancies, if any, between vendor accounts and internal records
  • Follow up with vendors and internal departments to ensure proper resolution
  • Ensure that all invoices have been approved before processing for payment
  • Generate reports detailing accounts payables status
  • Understand expense accounts and cost centers
  • Researches bill and payment history for completeness and accuracy
  • Understands compliance issues around accounts payable processes (W-9, sales tax, etc.)

Receptionist Tasks

  • Answers corporate multi-line phone line and directs callers to the appropriate resources, welcomes visitors
  • Signs for and receives deliveries
  • Ensures that the front desk maintains a tidy and presentable appearance
  • Issues temporary badges and tracks distribution/return
Requirements:

EDUCATION

  • High School Diploma or equivalent required
  • Accounting experience preferred

KNOWLEDGE / SKILLS / EXPERIENCE

  • Minimum of 2 year’s prior experience processing accounts payable
  • Working knowledge of computers, including MS Excel and other MS Office Applications
  • Excellent verbal and written communication skills and the ability to effectively interact with customers and visitors
  • Self-motivated and proactive
  • Great phone manners and etiquette
