Ryerson & Son, Inc, has an opportunity for an Administrative Assistant position onsite at our corporate office in Lisle, IL.

The successful candidate will be responsible for administrative support functions to the Chief Information Officer and General Manager of Sales. The successful candidate will execute duties that include a wide variety of diverse administrative office functions such as answering phones, screening visitors, filing, shipment processing, and organization of information.

Roles & Responsibilities
  • Arranges high volume executive travel, often on very short notice, with high demand for calendar adjustment and very tight time tolerances
  • Maintains and coordinates multiple executive calendars, necessitating the highest degree of flexibility, urgency and creativity in independently resolving scheduling conflicts
  • Acts as liaison to building management regarding daily service and maintenance issues
  • Reconciles, enters, and submits monthly expense reports. Works with AMEX as needed to resolve executive corporate card billing discrepancies
  • Reconciles & process invoices
  • Plans and coordinates office functions, events, meetings while communicating details to office personnel
  • Completes other projects and duties as assigned

Additional Sales Admin responsibilities include:
  • Order placements
  • Invoice processing
  • Set up of new customers
  • Maintain and update customer information
  • Verification of tax ID numbers
  • Maintain customer tax certifications
  • Submit tax exemption certs
Position Requirements:
• 5 – 7 years in an administrative support role, preferably in a corporate environment, with increasing levels of responsibility
  • Associates degree preferred or high school diploma with applicable years of experience in a similar level role
  • Ability to manage & coordinate multiple executive calendars and travel schedules to maximize efficiency required
  • Exercise discretion in the handling of confidential information
  • Superior written, verbal, and electronic communication skills, including the ability to articulate clearly, completely and concisely
  • Strong ability to use disparate research sources to offer solutions to challenges required.
  • Must demonstrate strong organizational skills and ability to meet deadlines in a fast-paced, frequently shifting environment. Ability to manage & coordinate multiple executive calendars and travel schedules to maximize efficiency required
  • Strongest sense of urgency and responsiveness required
  • Must exhibit presence and professionalism at all times; sets the standard for workplace demeanor. Must have the highest level of comfort dealing with outside executives, directors, stakeholders and customer representatives of the highest levels
  • Knowledge of alternative meeting formats (video, telepresence and other electronic conferencing media) preferred
  • Superior email (MS Outlook preferred) and intermediate proficiency of Microsoft suite (Word, Excel, PowerPoint) skills required
  • Limited travel

Experience Required: 5 - 7 Years

Education Required: High School Diploma
