Job Description:
The Administrative Coordinator of the Campus Recreation Department provides wide-ranging financial, technical, administrative, and operational support to the Director of Campus Recreation and the department’s leadership team. This position requires managing various complex tasks and responsibilities, delivering a high level of internal and external relational service, and effectively utilizing independent judgment and decision-making skills.
Manage complex financial matters, including budget projections, budget changes, monitoring income and expenditures, and reconciliation of accounts for the department budget totaling over $13 million
- Research and prepare monthly revenue and expense reports for Director and Budget Managers. Review transaction reports and submit corrections to the finance division when needed.
- Review statements and reports to verify compliance and reconcile.
- Educate, advise, and assist staff on budget development and other business challenges related to the programs and facilities.
- Manage revenue, expenses, travel reimbursements, and procurement of specialized equipment.
- Prepare financial analysis reports and other projects as assigned.
- Maintain, assess, and utilize data files within the department, including WEBI reporting, PeopleAdmin, WISE, Blackboard, Banner, Fusion, and internal files.
- Manage quarterly and annual budgets for Campus Recreation.
- Direct program and facility managers through the UShop creation and approval process.
- Approve, examine, and review transactions for correct classifications/appropriateness of expenditures and resolve discrepancies.
- Track compliance and accuracy of p-card purchases and receipt submission through FOC and PRA.
- Reconcile and correct discrepancies on all cash, in-person, and online payments.
- Receive, post, and review departmental budgets as presented by the Budget Managers. Assist Director and Associate Director with analyzing and adjusting the budget.
- Prepare an annual presentation of student fees for the Student Senate and Graduate Student Senate.
- Prepare and submit FUPLOADS, requests for journal transfers, and produce supporting documentation for all transfers and journal moves.
- Coordinate department-wide PCI training, certification, and compliance; coordinate certification process, in-depth documentation, and policy revision and attestation with the USNH PCI office.
Provide leadership for personnel
- Recruit, train, schedule, supervise, and evaluate one professional position.
- Manage hourly staff to include employee lifecycle from recruitment to separation.
- Serve as department point person for UKG.
- Manage Banner semester feed for Fusion.
- Serve on Campus Recreation and university committees.
- Provide leadership and direction in developing short- and long-range plans.
- Gather, interpret, and prepare data for studies, reports, and recommendations.
- Follow university protocol during the hiring, documentation, and purchasing processes.
- Participate in professional development opportunities to remain at the forefront of the field.
- Coordinate technology purchases and replacement schedule for the department and maintain equipment inventory.
Minimum Qualifications:
- High school graduation and six years of office support experience with increasing responsibility, including three years of supervision OR Bachelor’s degree and two years of experience, or combination of experience, specialized training and higher education equal to six years.
- Knowledge of financial management, budget reporting, and accounting methods.
- Comprehensive knowledge of financial, human resources, and office procedures and practices.
- Ability to establish and maintain effective, positive working relationships with students, faculty, staff, and community members.
- Comprehensive computer skills within the Microsoft Office suite. Proficiency in using email and cloud based applications.
- Supervisory experience including the ability to instruct, direct, and evaluate the work of others.
- Effective written and oral communication skills
- Organizational and analytical skills.
- Knowledge of financial management and accounting methods.
- Ability to work in fast paced, educational environment.
