Alumni & Family Relations Coordinator

Work with the Alumni, Parent & Family Relations staff to perform administrative tasks and provide administrative support to the Associate Vice President for Engagement.

Anticipated Salary Range: $18.00 to $20.77 per hour

Responsibilities:
Staff Support:
  • Assist the Associate Vice President for Engagement (AVP), coordinate and manage calendar, schedule meetings, assist with pcard approvals, budget reports, travel, contact reports and other communication.
  • Assist Alumni & Family Relations (AFR) staff to execute events including request mail and email lists, update event attendance, report attendance, create nametags, create event registrations, prepare email marketing, gather event materials, staff registration and other aspects of event support.
  • Update Alumni & Family Relations website to keep it current.
  • Maintain Alumni & Family Relations digital files in an organized manner.
  • Oversee operation of Tutt Alumni House, including the ongoing functionality for alumni and campus community to gather; serve as Ungerboeck venue manager for meeting space; oversee printer management.
  • Supervise AFR student workers.




Customer Service:
  • Professionally represent Alumni and Family Relations over the phone and via email when interacting with alumni.
  • Greet visitors, screen telephone calls, take and relay messages, provide informed responses as able and distribute messages as necessary.
  • Provide information to the Records office to keep alumni database current and accurate; handle confidential information with integrity.
  • Work with other staff members to promote the goals of the Colorado College Office of Alumni and Family Relations and respond to emails and phone calls coming into the general office accounts and phone line.

Data Maintenance:
  • Perform data entry and produce reports utilizing Banner database.
  • Maintain and updates files and electronic files for on-campus programs.
  • Actively support the colleges commitment to be an antiracist institution by understanding, engaging with, and promoting diversity, inclusion, and equity in the college community.



Additional Responsibilities:
o Actively support the colleges plan to be an antiracist institution by understanding, engaging with, and promoting diversity, inclusion, and equity in the college community.
o Promote a culture of safety and environmental protection by working in a safe manner; immediately reporting unsafe
situations and accidents; following college procedures; and participating in appropriate safety training.
o Demonstrate environmental sustainability by using college resources wisely and supporting the colleges sustainability
initiatives and innovation.
o Perform other duties as assigned.

Required Qualifications:
High school plus specialized training and a minimum of three years of related experience (Bachelors degree can substitute for two years of related experience); proficient in Microsoft Office, In Design, Acrobat Pro, and Adobe Photoshop; experience with database management, content management software, and reporting software; excellent oral and written communication skills; ability to develop strong working relationships with people from different cultural backgrounds; ability to think critically and solve problems; good judgment and ability to handle confidential/sensitive information with discretion; excellent organizational and customer service skills; ability to negotiate; available some nights/weekend; ability to operate standard office equipment.

Preferred Qualifications:
Bachelors degree; knowledge of social media as well as alumni relations programs and best practices; experience with Banner database, Salesforce Affinaquest, Cascade website management, Anthology engagement software, Emma email marketing, and Cognos reporting experience.
