Reporting to the Senior Director of Impact & Partnerships, with indirect supervision of the SVP of Philanthropy, the Programs and Volunteer Associate (“Associate”) is a critical impact team member. The Associate implements Boys & Girls Clubs of Santa Monica’s (“SMBGC”) annual program plan, administers the program partner contractual process, coordinates up to 15 Club-level engagement events for corporate partners, and oversees our volunteer program. This position may also support the writing and managing of foundation proposals in collaboration with the SVP of Philanthropy.

The Associate will be a leader in the truest sense: visionary, a builder, innovator, and focused on results to enhance and optimize SMBGC’s operations. The Associate will excel at logistics, planning, and coordination of multi-faceted projects.

Specifically, the Associate will be responsible for managing the following critical areas:

Program Implementation (25%):

  • Coordinates and publishes the annual program plan that drives consistent, age-appropriate experiences across all Clubs for fall, winter, spring, and summer program cycles.
  • Aligns program plan with operational models and grant deliverables. Accountable for ensuring follow-through and execution of our grant commitments.
  • Coordinates program quality assessment practices across all Clubs to ensure a high-quality Club experience.

Program Partnerships (25%):

  • Coordinates annual renewal of contractual program partners, up to 20, and supports implementation into Clubs.
  • Ensure COIs, contracts, and all risk management measures are completed and filed on SharePoint.
  • Oversees a “waitlist” as needed of program partners who would like to work with SMBGC and support the Senior Director of Impact and Partnerships in evaluation process.

Club Engagement Events (25%):

  • Accountable for the planning and executing club-level Halloween, Thanksgiving, and Holiday events at two stand-alone Club Sites (6 total events) in alignment with SMBGC’s donor stewardship matrix for corporate and individual donors. Individually curates up to 9 other corporate engagement events for our corporate sponsors ($10K+).
  • Ensures photos, content, and recaps from events are shared with the Philanthropy team to celebrate our donors on various communications channels.
  • Ensures compliance with volunteer waiver practices at all events and ensures entry into the donor database.
  • Accountable for executing all BGCA-pass-through funding engagement events in collaboration with the Philanthropy team.

Individual Volunteers (25%):

  • Annually recruits and onboards in alignment with BGCA Membership Requirements, up to 20 individual volunteers per year.

o SMBGC’s volunteer program will run annually from September through May.

o July and August are for recruiting, screening, and training.

o June is for recognition, renewal, and celebration.

  • Accountable for facilitating annual compliance processes every year in August, including background checks, mandated reporting training, and policy training.
Requirements:


The Associate must possess the following skills:

  • Outstanding written and oral communication skills and proposal and presentation skills.
  • Demonstrated ability to establish strong working relationships and influence with multiple stakeholders.
  • Strategic vision and intuition will help SLT to develop innovative relationships and strengthen existing partnerships.
  • Superb analytical thinking and decision-making abilities.
  • Excellent project management skills will an outstanding program and volunteer experience

The Associate is also required to have the following:

  • A bachelor’s degree in business, marketing, communications, or a related field.
  • A minimum of three years in youth development and/or a similar field.
  • Intermediate experience with CRM platforms, preferred experience with Salesforce.
  • A valid driver's license and the ability to be insured under the company's insurance policy is also a requirement.
  • This position will primarily work on-site at an indoor office. Accordingly, the ability to use various equipment, including janitorial and office equipment, is required. The job requires standing for extended periods, kneeling, reaching, bending, and lifting objects weighing more than 25 lbs. Outdoor work and moderate physically demanding activities may be required on occasion. Reading and writing are necessary to complete reports and properly document programs and organizational data.
  • This position is predominantly in-person, with at least four days per week scheduled on-site and one day remote. However, based on the administrative needs, the in-person requirements of this role may increase seasonally. It is the expectation that the position flexes to meet the needs of the business.
