Marketing and Operations Coordinator – 'Auana – Resident Shows
Sales, Marketing and Communications
Full-Time Position
We are looking for a Marketing and Operations Coordinator to join our team at ‘Auana! The Marketing and Operations Coordinator will play a crucial role in ensuring the seamless execution of our shows by supporting various teams, including Show Operations, Sales, Marketing and Communications. This multifaceted position involves administrative duties, scheduling, logistics, vehicle driving, and assisting leadership with various tasks. The ideal candidate will be a detail-oriented and proactive problem-solver who can adapt to changing needs and priorities as we bring our show to and through opening night!
Why join us as a Marketing and Operations Coordinator? As a Marketing and Operations Coordinator, you would be known for your ability to multitask, and innate affinity for organization. You will be part of the operations and administration teams, where you will interact with various departments throughout the production, as well as organization with internal and external stakeholders.
The Marketing and Operations Coordinator will have the opportunity to:
Show Operations Support:
- Assist in planning and scheduling meetings, rehearsals and events; Maintain flexible schedule for such events;
- Support leadership with onboarding new employees, including preparing onboarding materials and conducting orientations; Provide employees with necessary resources and information;
- Drive company vehicles for various show-related needs, including but not limited to: transporting equipment, personnel, and supplies;
- Ensure vehicles are well-maintained, clean, and in good working condition;
- Assist with minor IT related troubleshooting with RSD IT Support;
- Assist leadership with well-being programs and corporate wear initiatives;
- Collaborate with different teams to ensure effective communication and coordination;
- Manage and organize documentation, records, and correspondences;
- Adhere to and promote all Occupational Safety and Health Administration (OSHA) regulations as they pertain to the safe operation of all elements related to the show; participate in all required health and safety classes and emergency rescue procedure training;
- Contribute to a safe and positive working environment at all times by adhering to and following all Cirque du Soleil Entertainment Group standards, values, policies and regulations pertaining to safety using equipment and established working methods;
- Complete all other job-related duties as assigned.
Sales, Marketing & Communications Support:
- Assist the Sales Manager in coordinating sales initiatives, including outreach to potential partners, contract maintenance and tracking of sales performance
- Assist with coordination of familiarization tours including developing invitation lists, organize receptions, invitations, ticket distribution, etc., at each show on an as-need basis.
- Assist with management of CRM systems and ensure that customer and client data is up-to-date
- Work closely with the Marketing Manager to execute marketing campaigns
- Coordinate with designers to develop marketing collateral such as posters, brochures, and digital assets.
- Assist in managing the marketing and communications calendar, ensuring timely execution of campaigns and activities.
- Consistently audit broker and partner websites from a marketing and sales perspective;
- Monitor and report on the effectiveness of marketing and communications efforts
- Assist the Communications Manager in crafting press releases, newsletters, and other communications materials.
- Maintain media contact lists and assist with media outreach and press relations.
- Monitor press coverage and compile media reports for internal review.
- Support the organization of press events, interviews, and other PR activities.
- Assist with content collection; coordinate with house photographers and videographers
- Assist with budget tracking and processing invoices for the department.
- Complete all other job-related duties as assigned.
What does it take for this role? The following hard skills are the basics of what’s needed to be successful in this position:
- Previous experience in administrative support, logistics, or operations is a plus;
- Previous experience in a marketing, sales or communications role is a plus;
- Experience in the entertainment or events industry is desirable;
- Excellent organizational and multitasking abilities;
- Strong communication and interpersonal skills;
- Working knowledge of Microsoft applications; ability to learn internal IT platforms;
- Ability to drive and maintain company vehicles (valid driver’s license and MVR required upon hire );
- High school diploma or equivalent required; bachelor’s degree preferred;
- Availability to work varied shifts, including weekends and holidays;
- Ability to perform the essential functions of the job including, but not limited to: crouching, kneeling, standing, lifting, sometimes for extended amounts of time; lifting at least 50lbs unassisted, etc.; Full list of essential functions will be sent in the offer. - Fluent in English, both written and spoken;
- Verification of the right to work in the United States for Cirque du Soleil Entertainment Group, as demonstrated by completion of the Form I-9 upon hire and the submission of acceptable documentation (as noted on the Form I-9) verifying one’s identity and work authorization.
Compensation:
- The salary range for this position is $53,000-$58,000
- This range is location-specific and compensation in other geographies may vary. Actual compensation within the pay range will be decided upon elements related, but not limited to: skills, prior relevant experience, and specific work location.
Relocation:
** Please note: This position is required to be on-site in Hawai’i. There will be no relocation assistance provided for this position.**
