Principal Duties and Responsibilities (*Essential functions)• Track unit manning, prepare organizational charts, update recall and shelter-in-place rosters.• Plan, formulate, edit, develop and publish program documentation, plans, directives, reports, briefings, correspondences and other presentations (technical and non-technical) in the requested media and format. The Contractor shall perform data entry functions, integrate required reports, and produce graphic products.• Gather requests for supplies, prepare itemized lists for supplies/equipment to be purchased by the Government office, and order office supplies and equipment.• Receive, sign for, and distribute mail.• Process civilian employee timesheets using the Defense Civilian Pay System (DCPS).• Schedule meetings/briefings in conference rooms for office staff and provide pre-event planning support to include protocol and travel requirements and agenda development. Collect and prepare materials for staff meetings, provide in-event execution including graphics facilitation, general administrative and protocol support. Execute post-event actions and track follow-up requirements from the Program Executive Officer (PEO) or AFLCMC/LP Chief. The Contractor shall manage and operate Video Tele-Conference (VTC) equipment, including VTC bridge scheduling and VTC connectivity.• Develop/maintain Prop Office schedules/calendars; maintain consistency across calendars/schedules to ensure the PEO and others have current information at all times.• Use Air Force Records Information Management System (AFRIMS), Electronic Management Server (ERMS), and SharePoint, establish and maintain AFLCMC/LP master files, file plans and program data to facilitate tracking and resolution of issues associated with operations. Serve as records inventory managers and respond to record searches of active/inactive, physical/electronically stored final/draft documentary materials related to search criteria.• Maintain Propulsion Directorate Operating Instructions (OI), to include development and maintenance of self-inspection checklists. In addition to Section 3.1.4, the Contractor shall verify checklists against administrative processes and maintain tracking system for identification and correction of deficiencies, support unit compliance and operational readiness inspections as well as emergency management program execution.• Utilize appropriate suspense tracking systems to log and monitor suspenses.• Assist the Government with preparation of military and civilian evaluations and awards.At COLSA, people are our most valuable resource and centered at our core value.
