Purchasing Coordinator

Description

This role will be responsible for providing support to the purchasing operations of the Company by performing purchasing functions related to preparing and reviewing various purchase transactions, warranty, and analytical records. You will also have responsibility for communicating with both internal and external vendors on a regular basis to resolve issues with parts, potential refunds, and checking in on statuses of part deliveries. This position requires strong communication and time management skills and the ability to understand the big picture while being detail oriented.

• Order parts accurately and efficiently for hardware warranty and non-warranty repair, understanding each manufacturer’s and/or vendors warranty policies while adhering to ComputerCare’s purchasing policies, pricing structures and processes
• Communicate with vendors on a regular basis via verbal and written communications to escalate and resolve issues with parts, potential refunds, and checking in on statuses of part deliveries
• Ensure purchasing tickets are accurate and completely closed out within seven business days of ticket creation, utilizing internal ticketing system

• Negotiate best vendor terms, pricing, and shipping based on company identified budget and schedule requirements
• Carry out customized rates and/or matrixes set up for unique customers and circumstances
• Prepares accurate estimates for customers in a timely manner based on the parts requested by the technician in the internal system
• Performs research and price comparing new potential vendors, collaborating with Purchasing Lead to select the best option for the company
• Analyze and respond appropriately to purchasing related reporting and communications, escalating to the appropriate channels when needed while aligning with the company core values
• Verifies credit card charges and submit the receipts to through internal expense system
• Submit claims to receive warranty labor reimbursements from various vendors and manufacturers
• Monitor refunds to confirm they were received accurately and efficiently
• Serve as a resource to all relevant departments regarding all aspects of the purchasing process; advising on purchasing policies and processes
• Engage with vendors, customers, and team members with a positive attitude, aligning with the company’s core values
• Research purchase order discrepancies to identify root causes and develop action items to resolve
• Purchases goods and services globally according to the company's policies and procedures supporting all worksite locations
• Other duties as assigned by leadership

• 2+ years of past purchasing experience preferred
• Excellent analytical and problem-solving skills.
• Knowledge of Apple and PC components a plus (Not Required)
• Familiar with Google Suite and Excel
• Experience with NetSuite is a plus!
