About the Role
You will oversee all aspects of the Canadian immigration process and will be responsible for communicating with clients, gathering application documents, reviewing files, and submitting applications. You will be responsible for an array of Canadian immigration cases from inception to resolution, including but not limited to economic, family, and business immigration. You will be required to follow the outlined company-developed onboarding and processing workflows.
Key Responsibilities
Pre-assessment and consultation with clients to determine whether the client has the ability to work within Canada.
Pre-assessment and consultation with clients to determine whether the client is eligible for a Canadian immigration benefits
Generation of immigration options and action plans tailored to the client’s needs and situation
Handling of administrative tasks to support client’s onboarding process (retainer agreement preparation, proposal submission, invoice creation, etc.)
Collection and revision of documents and data prior to submission of final application
Communication with clients to obtain required/ missing documentation or advise on required changes to documentation previously submitted
Mining the client’s file for information and following up on outstanding information
Preparation of all documents and applications for the client
Communication with clients for status updates throughout the lifecycle of their application
Conducting online research on the Government or provincial websites, and other industry resources in order to devise effective strategies for common and more complex cases.
Meeting and greeting prospective applicants, visitors, and clients virtually and over the phone
Drafting submission/cover letters, working off precedents when appropriate or writing documents from scratch.
Corresponding with the government on behalf of the clients and the RCIC regarding their applications.
Leveraging government/provincial resources to ensure company processes are current and appropriate documents are being used.
Full accountability of assigned elements of a file or application
Checking client ledger to determine if any disbursements must be billed out. Tracking file progress against retainer to send a billing request to accounting, once certain milestones are reached with the client
Ensuring that timelines and deadlines are diarized and met including expiry dates and other key dates by recording all progress and milestones in the case management system for all client files.
Scheduling appointments through Google Calendar, Zoom and/or others for meetings with clients, agents, partners, and overseas offices.
Keeping updated and helping educate staff members on new policies and changes announced by the Canadian or provincial governments.
Monitoring emails from industry associations and regulatory bodies (i.e. CAPIC & ICCRC) for updates on regulatory changes, continuing education, continuing professional development (CPD’s), events (Webinars) and in-person conference registrations, networking opportunities, and other resources.
Requirements
5+ year of experience working in a law firm, corporate, or startup setting
Must hold an RCIC license to practice Immigration
Must hold CICC license to practice immigration in Quebec
Strong attention to detail, writing, logical reasoning, and communication skills
Strong client services skills:
Experience directly interacting for customers via email, call, and video
Experience anticipating clients’ needs and addressing their concerns
Experience managing individual pipeline and proven ability to juggle multiple customers and priorities, keeping all customers informed of changes to deadlines
Ability to function independently while following established directions and processes with limited hand-holding
Familiarity with JIRA, Zendesk and Slack as a plus!
